General Description: The Executive Assistant to the Provost and Chief Development Officer provides comprehensive administrative support to both the Provost and the Chief Development Officer. Serving as a key representative of both offices, this position requires exceptional professionalism, discretion, confidentiality, organization, and customer service. The Executive Assistant manages calendars, communications, events, records, budgets, faculty contract administration, donor and alumni data, and a variety of institutional projects. Responsibilities are generally divided evenly between the Office of the Provost and University Advancement (approximately 20 hours per week each), with flexibility throughout the year to support seasonal priorities, commencement activities, fundraising campaigns, alumni programming, and other institutional needs. Essential Duties and Responsibilities: Office of the Provost (Approximately 50%) · Coordinate, prepare, process, and maintain records for full-time and adjunct faculty contracts. · Serve as liaison among Academic Affairs, Human Resources, faculty, and academic departments regarding contractual matters. · Manage the Provost's calendar and coordinate meetings, appointments, and special engagements. · Plan and execute Commencement, Convocation, Senior Soiree, and other academic functions. · Prepare agendas, attend meetings as directed, record minutes, and maintain official records. · Create purchase orders, process invoices and reimbursements, and assist with budget monitoring. · Draft, edit, and proofread reports, presentations, correspondence, and official communications. · Maintain academic databases, reports, and records in compliance with institutional policies. · Serve as a primary contact for parents and families regarding academic affairs while maintaining FERPA compliance. University Advancement (Approximately 50%) · Maintain donor, alumni, and constituent records with a high level of confidentiality and accuracy. · Support donor recognition programs, annual giving initiatives, Giving Day activities, and stewardship efforts. · Assist with planning and execution of alumni and friends events including Homecoming, Alumni Weekend, First Fridays, and regional gatherings. · Maintain the campus events calendar and coordinate building rentals and AVC guest accommodations. · Support communications and engagement efforts with alumni, donors, and friends of the University. · Analyze opportunities to improve alumni participation and philanthropic engagement. · Coordinate student employees and volunteers supporting Advancement initiatives. Shared Administrative Responsibilities · Serve as a professional representative of both offices and the University. · Answer, screen, and route calls, emails, and correspondence. · Maintain organized electronic and physical filing systems. · Compile reports, presentations, and data summaries. · Coordinate projects and activities across multiple departments. · Perform additional duties as assigned in support of institutional priorities. Position Requirements: Bachelor's degree preferred or equivalent combination of education and relevant experience. Demonstrated administrative support experience, event coordination experience, proficiency with Microsoft Office Suite, database systems, and spreadsheet applications required. Experience working with donor databases, academic administration, student employees, volunteers, or higher education environments preferred. Typical Physical Demands: · Ability to sit, stand, and work at a computer for extended periods. · Ability to communicate effectively in person, by telephone, and in writing. · Ability to lift and carry up to 10 pounds. · Ability to travel occasionally by car or air. · Ability to work occasional evenings and weekends. Work Schedule: This is a full-time, 12-month position. Responsibilities are generally divided evenly between the Office of the Provost and University Advancement (20 hours per week each). Because both offices experience cyclical periods of increased activity, the allocation of time may shift throughout the year based on institutional priorities, commencement and convocation activities, major fundraising initiatives, alumni events, campaign activities, and other special projects.
