Executive Assistant-Nursing Administration

The Administrative Assistant provides high-level administrative, strategic, and operational support to the Chief Nursing Officer (CNO). This role acts as a primary liaison between the CNO, nursing leadership, hospital executives, and clinical staff. The ideal candidate is highly organized, exercises excellent judgment with confidential information, and thrives in a fast-paced healthcare environment.

Job Details

Key Responsibilities

  • Executive Support: Manage the CNO's complex calendar, schedule meetings, and arrange travel itineraries and accommodations.
  • Meeting Coordination: Prepare agendas, gather necessary presentation materials, record meeting minutes, and track follow-up action items for C-suite and nursing leadership meetings.
  • Communication & Liaison: Screen and prioritize incoming correspondence, phone calls, and emails. Serve as the main point of contact between the CNO's office and department heads, nursing staff, and external regulatory agencies.
  • Data & Reporting: Prepare, analyze, and maintain confidential reports, spreadsheets, and statistical data. Assist with tracking nursing metrics, budget expenditures, and performance indicators.
  • Document Management: Draft and proofread correspondence, memos, and policies for the CNO's signature. Maintain secure digital and physical filing systems for nursing operations.
  • Special Projects: Assist with special projects, such as preparing for The Joint Commission or state accreditation surveys, onboarding new nursing leadership, or organizing staff recognition events.

Qualifications & Requirements

  • Education: High school diploma or equivalent is required. An Associate's or Bachelor's degree in Healthcare Administration, Business Administration, or a related field is highly preferred.
  • Experience: Minimum of 3-5 years of executive-level administrative experience, preferably in a hospital or healthcare setting.
  • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Ability to quickly learn and navigate hospital management software and scheduling systems.
  • Confidentiality: Must possess a high degree of discretion and the ability to maintain strict confidentiality regarding patient, staff, and hospital matters.
  • Communication: Exceptional written and verbal communication skills. Ability to interact professionally and tactfully with individuals at all levels of the organization.

Physical Demands

  • Primarily operates in a standard clinical/office environment.
  • Requires sitting for extended periods, occasional standing, walking, and light lifting (up to 20-25 lbs).
  • Requires the ability to tolerate standard hospital environments and fast-paced, high-stress executive scenarios.
