You will identify and resolve discrepancies between Purchase Orders and vendor Order Acknowledgments by referencing our records and/or contacting the vendor to determine if they or we need to update our records. Excel Data Entry Specialist

We are looking for an Excel-proficient, detail-oriented data entry specialist to keep our product, vendor cost, and retail pricing information accurate and up to date. The ideal candidate has experience working with large data sets and is highly organized. As a member of our Purchasing team, you will record, prepare, and update vendor product cost and status changes.

This is an in-office position, we do not offer remote.

Day-to-Day/Key Responsibilities:

You will record vendor notifications of cost and status changes and archive price books.

You will use Excel to do the following:

• Organize all active products in our system by vendor.
• Match the products to the products listed within the vendor product catalog.
• Record each product's cost as established by the vendor.
• Record the discount rates and any applicable surcharges established by the vendor.
• Apply the discount rate and surcharges to determine our cost.
• Record markup percentages established by the Sales and Purchasing Manager.
• Apply the markup percentage to the cost to determine our retail price.

You will create a secondary CSV file with the part number, calculated cost, and calculated retail price, then upload it to the appropriate website(s) to update product cost and price.

You will identify new and discontinued products, then confirm the status with the vendor and submit an Excel file to the Content Department.

You will follow up on outstanding communications regarding product cost or status.

Required Skills & Qualifications:

• Advanced Microsoft Excel skills required
• Conditional formatting, including duplicate identification
• Table filtering/sorting
• XLOOKUP/VLOOKUP, ROUNDUP, IF, SUBSTITUTE, CONCAT, TEXTSPLIT
• Mathematical skills – ability to calculate various discounts and markups within Excel
• Strong logic and problem-solving skills
• Strong numerical ability and exceptional attention to detail
• Ability to identify and resolve cost discrepancies
• Professional written and verbal communication skills, including the ability to work directly with vendors by email and phone
• Strong follow-through: able to track open issues, prioritize urgent items, and see discrepancies through to resolution
• Experience in product data management/data entry, purchasing, or e-commerce product management
