Jefferson is seeking an Events Manager to support the National Science Foundations NSFs Office of Legislative and Public Affairs (OLPA).
The Events Manager leads the planning, coordination, and execution of high-profile meetings, conferences, exhibits, and outreach events. This role oversees end-to-end event logistics, manages vendors and on-site teams, and ensures events are delivered on time, on budget, and in compliance with federal requirements. The Events Manager serves as the primary point of contact for complex events and provides strategic guidance on event design, logistics, and execution.
This role will be Onsite at the NSF Offices at the Randolph Building, 401 Dulany Street, Alexandria, VA 22314.
This recruitment effort is in preparation for a proposal and is therefore unfunded until contract award. The annual salary range is negotiable. Responsibilities
- Lead planning and execution of national and regional meetings, conferences, trade shows, and outreach events, including in-person, virtual, and hybrid formats.
- Manage all logistical components, including venue selection, contracts, security coordination, shipping, signage, decor, catering, and on-site setup and dismantle.
- Oversee exhibit and expo-style booth design, build-out, inventory management, shipping, storage, deployment, and maintenance.
- Supervise event staff and on-site teams; coordinate with vendors, venues, and external partners to resolve issues independently during events.
- Manage speaker and RSVP processes, including invitations, registration platforms, speaker preparation, and dry runs.
- Develop event timelines, run-of-show documents, and post-event reports, including after-action reports and inventory forecasts.
- Provide regular status updates and reports, support weekly planning meetings, and respond to quick-turn or same-day requests.
- Ensure compliance with federal standards and requirements, including Section 508 accessibility.
Required Qualifications
- Bachelors degree from an accredited college or university or equivalent experience.
- A minimum of 7 years of professional experience managing trade-show style events, conferences, or large-scale exhibits.
- Expertise managing shipping and receiving logistics, including advanced warehouse, direct-to-site, and event-to-event shipping.
- Proven experience managing large teams and working with major exposition and trade-show vendors.
- Demonstrated knowledge of best practices for large-scale exhibits and demonstrations.
- Expert-level proficiency with Microsoft Office and Adobe Creative Cloud.
- Demonstrated expertise in project management and event planning tools.
- Strong leadership, organization, and problem-solving skills.
