Job Title Events Coordinator - Workforce and Community Partnerships Classification Title Department Corporate, Community, & Continuing Education Work Location Main Campus Duties
SUMMARY
Under direction of the Dean of Workforce and Community Partnerships, the Events Coordinator is responsible for the administration, production, and implementation of programs, events, and services in college facilities. In accordance with the mission, vision and strategic objectives of Workforce and Community Partnerships, the Events Coordinator is responsible for attracting and serving customers and ensuring services are delivered in accordance with established standards.
Duties include event planning and production; event administration; and marketing/communication related to event coordination. The Events Coordinator is dedicated to the learning college concepts by developing programs and facilitating activities that promote student success and lifelong learning.
Essential duties and responsibilities include the following. Other duties may be assigned.
Proposes enhancements to improve event planning and implementation process
Develops cost estimates, contracts, and invoices in accordance with college policies and subdivision revenue goals
Manages relationships with external event vendors, ensuring contracted services are delivered in accordance with agreements and College/division standards
Makes recommendations and arranges food and beverage services based on client preference
Ensures appropriate decor/signage meets the quality expectations of the subdivision and client
Creates and revises room layouts for each event
Manages on-site production and clean up for events as necessary
Coordinates with other college departments as necessary to deliver events
Communicates in a timely manner with internal and external event organizers
Prepares event outlines for approval by customer
Assists with preparing event budgets including provisions for target profit margins
Coordinates appointments and visits to promote conference center facilities and capabilities
Maintains and distributes an accurate schedule and calendar of events
Maintains a resource list of recommended external vendors
Prepares contracts, addendums, and invoices in a timely manner per department standards
Serves as primary point of customer service for events and customers
Manages customer relations, including collection efforts regarding delinquent accounts and receivables
Assists College departments with presenting and promoting programs/services to prospects
May participate in college and subdivision outreach activities (presentations and events)
May serve on College committees and task forces as required
Develops relationships with internal and external groups, agencies, schools, and community groups to enhance and promote programs and services
Supervises staff including any contract, temporary and support staff when conducting an event
Ensures that vendors and/or independent contractors are effective and represent the mission and vision of the division Ensures vendors and independent contractors deliver contracted services that meet event requirements, contractual expectations, and College/division standards
Communicates effectively and collaborates with stakeholders during the planning and execution of events
Other duties as assigned
