The Events Coordinator I supports the planning, coordination, and execution of events ranging from small meetings to large-scale ministry events. This role requires strong organizational, communication, and problem-solving skills, along with the ability to manage multiple priorities in a fast-paced, event-driven environment. The ideal candidate is flexible, detail-oriented, and capable of independently coordinating event logistics while collaborating effectively with internal teams and vendors to ensure successful execution.
This position reports to the Events Assistant Director.
ESSENTIAL JOB FUNCTION
Coordinate and manage event logistics from planning through completion, including travel arrangements, setup, teardown, and post-event follow-up
Collaborate with assigned departments and ministries to plan and support upcoming events and travel needs
Manage multiple events simultaneously while ensuring deadlines and timelines are met
Ensure all required contracts, policies, and event guidelines are followed for each event
Maintain effective working relationships with staff, vendors, and service providers
Process work orders, purchase orders, receipts, and related documentation accurately and in a timely manner
Provide excellent customer service and ongoing communication to all departments and ministries
Assist the Events Assistant Director and Director as needed
Work collaboratively and effectively with other Events Coordinators
Handle sensitive and confidential information with tact, discretion, and professionalism
Perform other related duties as assigned

Ability to remain calm and work effectively under pressure
Strong written and verbal communication skills
Excellent interpersonal skills with a service-oriented disposition
Basic understanding of vendor coordination and contract compliance
Strong attention to detail and accuracy
Willingness to work evenings and weekends as event schedules require
Professional appearance and conduct
Ability to lift up to 25 lbs unassisted
Proficiency in Microsoft Office applications
EDUCATION & EXPERIENCE
Some college coursework preferred
Minimum of 3 years of experience in event planning or coordination
