Team Overview

The Event Technology Coordinator will build and maintain the registration websites, mobile apps, and data systems that power ADF's events. This role will own the technical configuration behind every registration site, including platform setup, data structure, integrations, and live troubleshooting. The ideal candidate enjoys learning new software platforms, works comfortably with structured data, and wants to build technical expertise on the Events Team.

Key Responsibilities

• Configure registration websites, mobile event apps, and onsite check-in systems using ADF's event technology platform (currently Cvent)
• Structure registration forms, session logic, and data fields for multi-track, multi-day events
• Maintain and troubleshoot live registration sites and event apps throughout each cycle, including content updates and push notifications
• Build integrations with other systems (payment processing, database exports) and manage data imports/exports between platforms
• Build reports and dashboards supporting event and departmental leadership; audit records regularly for data accuracy
• Serve as the technical point of contact for platform functionality, configuration, and troubleshooting
• Research new platform features and recommend workflow improvements
• Document technical processes and maintain reference guides for the Events Team
• Onboard new Events Team members on the registration platform

Minimum Qualifications

• Proficient in Microsoft Office Suite and project management tools (Trello, Wrike, Asana, or similar)
• Willingness to travel up to 20%, including occasional overnight and weekend trips, to support onsite event registration technology
• Comfortable learning new software platforms
• Strong project and time management skills, attention to detail, and ability to track data accuracy across multiple systems

Preferred Qualifications

• Bachelor's degree
• Experience with Cvent or a similar event registration platform
• Cvent certifications a plus (Event Management, Event Management Advanced)
