Who we are: We are a leading entertainment company based in Southern California, known for hosting unforgettable anime events and conventions. We are seeking talented Event Planning Coordinators to join our dynamic team and bring your creativity to life in the world of anime fandom.
Purpose of this Role: The Event Planning Coordinator coordinates with internal and external key stakeholders during the event planning process to execute key deliverables and ensure projects adhere to scope, schedule, and budget.
Functions of this Role:
- Handle the day-to-day administration and coordination of several events.
- Responsible for all aspect of event planning including, but not limited to, vendor relationships, contract administration, volunteer recruitment and issues resolution.
- Maintain organized event documentation and databases.
- Book venues, schedule guests, and manage the full cycle of contract management.
- Participate in the development of original content for our events.
- Frame up new ideas for approval of senior management.
- Serve as point of contact for all day-to-day communication with third party vendors, industry partners and sponsors.
- Process invoices and assist with financial reconciliation.
- Help create operational budgets.
- Keep budgets and timelines under control.
- Identify different staffing solutions for events.
- Provide onboarding and training for respective departments.
- Willing to step in and perform the duties of other positions when needed.
Job Location: The Event Planning Coordinatorwill be based in-office. However, this position must also be able to attend off-site meetings, conferences, and events as necessary.
Background and Experience:
- Bachelor’s degree in hospitality management or related field.
- Professional certification such as CaPM is desirable but not required.
- 2+ year’s event planning experience.

- Ability to understand financials, budget, forecast, variance, and related reports.
- Excellent computer skills, including Microsoft Office and online software programs.
- Advanced knowledge of PowerPoint, Acrobat, and Excel.
- Ability to work in a high pressured environment and meet tight deadlines.
- Team-oriented with a positive, proactive outlook.
- No commitments to other conventions.
- Respect for anime, Japanese culture and its lifestyle, and familiarity with fandom communities is a plus.
Work Environment:
- Work is primarily performed in a business office but may also spend time on in public venues, conference centers, business meetings and traveling.
- The noise in the work environment is usually moderate; noise level at events are loud.
- Work is usually performed in a fast paced environment.
