Description

Summary:

Location: 12740 Gran Bay Parkway, Suite 2120, Jacksonville, FL 32258

Schedule: 8:30 to 5:00 daily. OT is sometimes required for volume.

Work Mode: Onsite

Responsibilities:

  • Review post-closing files and recording packages for completeness, accuracy, and compliance with established procedures.
  • Review deeds, mortgages, riders, affidavits, and related documents for signatures, notarization, vesting, legal descriptions, and other recording requirements.
  • Compare information across closing documents and systems to identify discrepancies.
  • Verify recording fees, page and party counts, and transaction details; document shortages, overages, or fee variances.
  • Prepare, scan, index, and upload recording documents into document repositories and workflow systems.
  • Create and submit electronic recording packages.
  • Verify grantor and grantee information, property data, county indexing fields, recording order, and document images before submission.
  • Monitor work queues and complete assigned tasks within service-level expectations.
  • Research and resolve rejected, incomplete, or discrepant recording packages and escalate issues when needed.
  • Maintain accurate workflow notes and documentation of processing activity and outstanding issues.
  • Participate in training, cross-training, coaching, and continuous process improvement activities.

Requirements:

  • Minimum of one year of experience in title, escrow, mortgage, real estate closing, banking operations, document processing, or a similar production environment.
  • Strong attention to detail, organization, and time-management skills.
  • Ability to manage multiple assignments and changing priorities in a high-volume environment.
  • Strong problem-solving, research, and critical-thinking skills.
  • Strong written and verbal communication skills.
  • Ability to learn and follow detailed procedures, workflows, and job aids.
  • Strong computer proficiency and ability to learn multiple systems.
  • Proficiency with Microsoft Office applications and Adobe Pro.
  • Ability to appropriately handle confidential customer and transaction information.

Preferred Skills:

  • Experience with residential purchase, builder, or new-construction transactions.
  • Experience with post-closing, recording, or document-review processes.
  • Experience with FAST, TRecS, or title-production systems.
  • Prior company experience.
