About PHAME

PHAME is a fine and performing arts academy serving adults with intellectual and developmental disabilities (I/DD). Serving 200+ individuals per year through art classes, workshops, and a robust performance program, PHAME empowers students to learn new skills, take artistic risks, and build lasting relationships with people who share their experience of having a disability.

Established in 1984, PHAME is Portland's longest-standing arts nonprofit serving adults with I/DD. As a mid-sized organization, our small but mighty team includes nine-and soon to be ten-core staff and 20+ teaching artists. We are a tight-knit, collaborative team where every voice is valued.

Position Overview

  • Title: Enrollment & Student Engagement Coordinator
  • Location: PHAME Campus, SE Portland (primarily in-person with occasional remote flexibility)
  • Reports to: Outreach & Student Engagement Manager
  • Type: Part-Time / Non-Exempt (approximately 32.4 hours/week, ~90% full time)
  • Salary: $26/hour
  • Benefits:
  • 100% employer-paid medical and dental insurance following a 60-day probationary period
  • Flexible Spending Account (FSA) with employer contribution for select health plans
  • Four weeks of vacation (accrued), increasing with tenure
  • Eleven paid holidays plus three floating holidays annually (prorated based on start date)
  • Schedule:
  • Generally Monday through Thursday between 9 AM and 5 PM, with some Friday hours required during active class sessions
  • Occasional evening and weekend hours for events, outreach activities, and community engagement opportunities

PHAME's programs rely on effective enrollment and registration systems to ensure students can access classes, performances, and community opportunities. The Enrollment & Student Engagement Coordinator plays a key role in driving these processes, maintaining accurate student records, and supporting clear, timely communication with students and their support networks.

In this role, you'll oversee registration systems and workflows, coordinate enrollment activities, and help ensure students have the information they need to participate in PHAME's programs. Your attention to detail and commitment to excellent service will help create a smooth and accessible enrollment experience.

Key Responsibilities

Enrollment & Registration

  • Serve as the primary administrator for PHAME's student registration system (Activity Messenger)
  • Coordinate enrollment processes, registration timelines, and student records
  • Track enrollment data and generate reports to support planning and decision-making
  • Help ensure a smooth and accessible registration experience for students and their support networks

Student Communication & Engagement

  • Serve as a primary point of contact for prospective, current, and returning students
  • Develop and distribute enrollment materials, announcements, reminders, and frequent student communications
  • Maintain student-facing enrollment information across PHAME's systems and platforms

Program & Community Support

  • Assist with student events, outreach activities, and community engagement opportunities
  • Provide general administrative support that helps PHAME's programs run smoothly

What You Bring

We're looking for someone who is organized, thoughtful, and responsive, with exceptional attention to detail and a commitment to creating accessible and positive experiences for students. Ideal candidates will bring:

Required

  • 2 or more years of administrative, project coordination, and/or customer service experience, preferably within a nonprofit, arts, or education setting.
  • Proficiency with database or registration management systems (experience with Activity Messenger or similar platforms a plus).
  • Superb attention to detail and accuracy, especially when handling schedules, records, and large amounts of data.
  • Good written and verbal communication skills.
  • Ability to manage highly confidential information with care, discretion, and good judgment.
  • Creative problem-solving skills with the ability to independently research, learn, and implement solutions.
  • Ability to work both independently and collaboratively across departments.
  • Ability to be warm, kind, and respectful when working with people from diverse backgrounds, identities, and lived experiences.
  • A commitment to equity, inclusion, and disability justice, and a belief in the power of the arts to transform lives.
  • Ability to travel to campus, outreach events and community partner locations as needed.

Preferred skills and abilities

  • Experience working in the arts and/or with people with intellectual and developmental disabilities.
  • Experience drafting clear, warm, and accessible communications for diverse audiences.
  • Proficiency with basic website and/or microsite management (e.g. updating pages, creating web content, embedding videos/widgets) on Squarespace or similar platform.
  • Experience troubleshooting tech issues, processing orders, and triaging inquiries across multiple channels during high-volume periods.
  • Experience sending mass emails using Constant Contact or similar platform.
  • Proficiency with Excel, including building and maintaining multi-tab documents and working with formulas.
  • Experience using Microsoft Word mail merge.
