Position Summary
The Engineering Administrator provides vital administrative, system, and operational support to the Project Engineering department. This role ensures seamless execution of project deliverables, precise data tracking within databases, strict safety compliance, and effective cross-departmental coordination.
Key Responsibilities
Timesheet & Staff Augmentation Administration:
Act as the Electronic Timesheet System (ETS) administrator by adding new employees and projects into the system.
Manage records and tracking for contract and augmented staff, which includes coordinating hours, verifying entries, and identifying missed hours.
Review and approve augmented staff timesheets and coordinate with requisitioners and managers.
Engineering & Project Support:
Support project managers with day-to-day and on-the-spot administrative tasks.
Coordinate tracking and gather lists of required approvers for key project documentation.
Assist project managers and engineers with documentation, tracking Management of Change (MOC) processes, filing equipment schematics and P&IDs, and preparing project closeout reports.
Meeting Coordination:
Schedule meetings and manage bi-weekly recurring large-scale team meetings, such as the Project Execution Staff Meeting, on behalf of management.
Handle daily communications, as needed, for the Executives and Operations department.
Safety Culture:
Champion the culture of "Do It Safe, Do It Right the First Time" by participating in plant safety meetings and adhering to site health and safety guidelines.
System & Data Administration:
Manage ERP/SAP entries, create Purchase Requisitions.
Follow-up with vendors, as needed.
Financial Coordination:
Process Requests for Approval of Expense Disbursements and collaborate with Accounts Payable to ensure invoices are paid in a timely manner.
Site Logistics & Access Control:
Oversee visitor and contractor logs.
Prepare new employee goods (name tags, business cards, uniforms) and coordinate accommodations for visitors.

Qualifications & Requirements
Education: College graduate, Associate's, or Bachelor's degree in a technical, administrative, or business-related field.
Experience: 25 years of administrative or project coordination experience, ideally within a specialty chemical, high-purity gas, or manufacturing environment.
Technical Skills: Proficiency with ERP/SAP systems and advanced competency in Google Workspace and Microsoft Office (expert-level Excel/spreadsheet skills required).
Core Competencies: Strong attention to detail, a service-oriented mindset, excellent written and verbal English communication skills, and the ability to collaborate effectively in a team environment.
