The EMS Administrative Assistant provides high-level administrative and operational
support to EMS leadership and department staff. This position plays a critical role in
supporting daily office operations, employee onboarding, billing quality assurance,
employee health coordination, scheduling activities, and regulatory documentation
processes. The ideal candidate is highly organized, detail-oriented, professional, and
capable of handling sensitive information in a fast-paced healthcare environment.
Essential Job Functions
Perform billing quality assurance reviews to ensure patient care reports and
documentation are complete and accurate prior to billing submission
Assist with coordination of medication ordering, receiving, inventory tracking, and
related documentation
Coordinate employee health processes including required screenings,
immunization records, and compliance tracking
Assist with onboarding of new employees including paperwork completion,
orientation coordination, and system access requests
Coordinate ordering and distribution of employee uniforms and related supplies
Manage and track non-clinical complaints and assist with complaint follow-up
documentation
Review and manage employee timecards for accuracy and completeness prior to
payroll processing
Answer department phone calls, route calls appropriately, and take detailed
messages
Assist with collection and preparation of records related to subpoenas, legal
requests, and documentation requests
Coordinate student clinical scheduling and maintain communication with
educational institutions
Coordinate interviews for prospective employees including scheduling, applicant
communication, and interview logistics
Maintain organized filing systems and administrative records
Assist leadership with special projects and other administrative duties as
assigned
Minimum Qualifications
High school diploma or GED required
Must have previous EMS experience
Associate degree preferred
Previous administrative experience in healthcare, EMS, hospital, or public safety
setting preferred
Strong organizational and multitasking skills
Proficient computer skills including Google programs
Excellent verbal and written communication skills
Ability to maintain confidentiality and handle sensitive information professionally
Ability to work independently and prioritize tasks effectively
Knowledge, Skills, and Abilities
Knowledge of general office procedures and administrative practices
Ability to manage multiple priorities in a fast-paced environment
Strong attention to detail and accuracy
Ability to maintain professionalism when interacting with staff, patients, students,
and the public
Familiarity with healthcare documentation and compliance processes preferred
Ability to work collaboratively with leadership and operational staff
