Reports To: Business Operations Manager in Practice Operations

Interfaces With: Physician Support Specialists, Lead Physician Support Specialists, Practice Operations Managers, IT Team

Work Location: Chatham Office

Job Overview:  To assist the operations team and patients to reconcile orders, messages, and other data in a timely, accurate, and confidential manner.

 

Key Responsibilities

Core Responsibilities

  • Review and reconcile aging EMR open orders in a timely manner; escalate unresolved orders to office leads or as directed by supervisor. 
  • Notate received order results with appropriate documentation/charting methods. 
  • Manage patient non-compliance letters with appropriate documentation/charting methods. 
  • Review and document direct provider messaging between EMR systems. Task physician liaison/support team to ensure timely management of patient care. 
  • Input monthly provider call schedules into EMR system(s). 
  • Reconcile open appointments weekly or as directed. 
  • Review and update patient portal chart requests daily or as directed. 
  • Daily review and working knowledge of physician’s schedules.  
  • Communicate and escalate quality of care or delayed care concerns to practice operations managers or respective supervisor. 

 

Additional Responsibilities

  • Support and demonstrate flexibility for ad-hoc projects or special assignments related to patient and/or EMR data. 
  • Attend all team meetings and in services as required.  
  • Maintaining confidentiality of patient, personal and financial information by utilizing HIPAA guidelines and regulations.  
  • Any other tasks as requested by the physician, director, human resource manager, and/or the office supervisor.  

 

Knowledge, Skills, and Abilities

  • Knowledge of medical terminology.  
  • Knowledge of HIPAA regulations.  
  • Ability to handle a multi-line phone system.    
  • Ability to organize work material and/or charts to ensure accuracy of patient records.  
  • Ability to relate to all levels of patients, staff members as well as external providers and/or agencies.  
  • Neat appearance and professional demeanor and pleasant phone demeanor.  
  • Knowledge of modern office procedures and methods including telephone communications, office systems, and record keeping  
  • Knowledge of modern business communication, including style and format of letters, memoranda, minutes, and reports  
  • Skill to use a personal computer and various software packages  
  • Ability to establish priorities, work independently, and proceed with objectives with little supervision  
  • Ability to handle and resolve recurring problems  
  • Fluent in English.  

 

Required Qualifications

  • Must have high school diploma or equivalent.  
  • A willingness to learn new tasks and be flexible to work on new priorities as they arise. 
  • Flexibility in working hours willing to work occasional overtime.  

 

 

Preferred Qualifications

  • Two years’ experience working in a medical environment (office, clinical, or hospital)  

 

Physical Requirements

  • Applies the principles of body mechanics in lifting or moving people, or equipment (occasional).  
  • Must be able to independently lift 25 pounds (occasional).  
  • Physical ability to retrieve and file records in a (6-7 shelf) file cabinet. (Frequent)  
  • Must be able to sit (frequent), stand (frequent), walk (frequent), stoop (frequent), bend over (frequent), and type on keyboard (frequent).  
  • Ability to communicate in person and by phone (frequent).  

 

 Work Environment

  • Office workstation environment with numerous employees.
