JOB SUMMARY
The Employee Operation Specialist supports the day-to-day operations of Human Resources and serves as a trusted resource to employees, hiring managers, and ministry leaders. This position focuses on recruiting support, onboarding, employee separations, personnel and payroll changes, and employee records administration.
The ideal candidate is highly organized, detail-oriented, service-minded, discreet, and able to manage multiple priorities in a fast-paced ministry environment. This role may be cross-trained in other areas of HR and provide additional support as organizational needs arise.
ESSENTIAL FUNCTIONS

Coordinate recruiting activities and maintain timely communication with candidates and hiring managers.
Conduct initial candidate prescreening and coordinate interview scheduling.
Assist hiring managers with interview preparation and participate in interviews as appropriate.
Support a consistent, professional, and positive candidate experience.
Coordinate timely and organized onboarding for new employees.
Partner with HR, payroll, IT, facilities, and ministry leaders to ensure employees are prepared for their first day.
Coordinate required employment documentation, background checks, certifications, and other pre-employment requirements.
Serve as a welcoming, professional, and knowledgeable HR point of contact for new employees.
Identify opportunities to improve and streamline the onboarding experience.
Coordinate employee termination and separation processes with HR leadership and appropriate ministry or department leaders according to the appropriate HR regulations.
Coordinate with payroll and other departments regarding final pay, benefits, access, records, and other separation-related matters.
Review submitted personnel changes for completeness and accuracy.
Track changes including promotions, transfers, compensation adjustments, department changes, supervisor changes, and status changes.
Partner with managers, HR, and payroll to resolve discrepancies or missing information.
Protect confidentiality and security
Assist with periodic file audits and ensure HR records remain complete and accurate.
Maintain accurate employee information in the HRIS and other applicable systems.
Provide support in other areas of HR based on organizational needs and priorities.

POSITION TYPE/EXPECTED HOURS OF WORK
This is a full-time position. Days and hours of operation are scheduled Monday – Thursday, 10 hour shifts, with occasional evenings and weekends as job duties demand.
PHYSICAL REQUIREMENTS
While performing the duties of this job, the employee may be regularly required to do the following:
Ability to sit and work at a computer for extended periods of time.
Ability to communicate effectively in person, by phone, and through electronic communication.
Ability to regularly use a computer, keyboard, mouse, telephone, and other standard office equipment.
Ability to move throughout office and ministry facilities to attend meetings and support employees and leaders.
Ability to occasionally lift, carry, or move office materials and supplies weighing up to approximately 25 pounds.
Ability to attend occasional meetings, events, training sessions, or ministry activities that may require extended periods of standing or walking.
Ability to perform the essential functions of the position with or without reasonable accommodation.
EDUCATION AND EXPERIENCE
Required:
Bachelor's degree in Human Resources, Business Administration, or a related field.
2+ years of experience in Human Resources, employee operations, recruiting coordination, or a related administrative role.
Strong organizational and time-management skills with exceptional attention to detail.
Ability to maintain strict confidentiality when handling sensitive employee information.
Strong written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Strong interpersonal skills and a service-oriented approach.
Proficiency with Microsoft Office or comparable productivity tools.
Ability to learn and effectively use HRIS, payroll, applicant tracking, and other HR systems.
Preferred:
Experience working in a nonprofit, church, ministry, or other mission-driven organization.
Experience with recruiting, onboarding, employee records, payroll changes, and employee separations.
Familiarity with Texas employment practices and HR requirements.
Experience with HRIS or applicant tracking systems.
PHR, SHRM-CP, or other relevant HR certification.
WORK ENVIRONMENT
Duties are performed in a variety of settings to include, outside, office and technical settings where the work and general environment may be fast-paced and hectic at times. Therefore, it is essential that the employee can effectively handle the normal anxieties associated with the job and manage multiple projects in a service-oriented environment. Environmental noise levels are minimal.
