What We're Looking For
The Education & Events Coordinator provides administrative and operational support across Education, Events Management, and Clinical Services. This role is responsible for coordinating logistics, supporting educational programming, and ensuring seamless execution of internal and external events. This individual will work closely with multiple leaders and cross-functional teams on day-to-day operational needs. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced, team environment.
What You Will Do
Event & Program Coordination
- Serve as lead planner for PCCA Speaker's Bureau and VIP member events
- Collaborate with Trade Show team on educational sessions at external industry events
- Assist Events Management team with education and training events, including set-up, lab services, catering, and logistics
- Support internal and external events, including Culture Committee and other company initiatives
Administrative & Operational Support
- Provide administrative support to Director of Events Management, Sr. Director of Education, and Sr. Director of Clinical Services
- Maintain the Clinical Services team calendar, including scheduling events and time-off requests.
- Process standard Clinical Services team member requests, escalating special cases to the Sr. Director for approval
- Update and distribute the on-call pharmacist schedule on a weekly basis.
- Coordinate the intern and pharmacy student experience, including onboarding, pre-arrival documentation, and presentation scheduling.
- Serve as back-up registrar for education courses (members and students)
- Serve as back-up for event-related messages, including email and call queue triage
- Assist with preparing materials for courses and events (printing, assembly, shipping)
- Cross-train in Cvent and EventMobi to assist with event creation and updates
Cross-Functional Collaboration
- Coordinate with Clinical Services team on program content for events; partner with the Sr. Director to confirm availability based on team workload.
- Provide logistical support during key Clinical Services onsite team initiatives
- Partner with internal teams to support education initiatives and event execution
- Develop and maintain strong working relationships across departments
- Provide excellent customer service to members, customers, and internal stakeholders
Additional Responsibilities
- Assist with special projects and additional education or event-related duties as assigned
- Occasional evening or weekend work may be required
- Lab assistant on rotation during PCCA training courses
Who You Are
- Bachelor's degree or equivalent combination of education and experience
- 2+ years of administrative, coordination, or customer-facing experience
- Strong organizational and time management skills with attention to detail
- Ability to multi-task with proficiency in follow-up and follow-thru
- Excellent verbal and written communication skills
- Strong interpersonal skills and ability to work across multiple teams and leadership levels
- Strong professional judgment with the ability to maintain and enforce team guidelines and parameters
- Resourceful problem-solver with a hospitality-focused approach to team logistics and onboarding
- High degree of discretion and professionalism when handling team schedules and leadership administrative needs
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Self-motivated, adaptable, and team-oriented
