Definition

Under general supervision the Enrollment Technician performs a variety of complex and/or confidential clerical/administrative support work related to student enrollment. Receives, logs, reviews, and verifies that all documentation required for program enrollment is submitted with student's enrollment applications.

Primary Job Functions:Primary functions may vary among positions, but may include the following tasks, knowledge, skills, and abilities among other characteristics. This list of tasks is ILLUSTRATIVE ONLY and is not intended to be a comprehensive listing of tasks performed by all positions in this classification.

Examples of Tasks

  • Assist in preparing and maintaining effective application processing methods for student enrollment. Reviews, logs, processes, and files all applications received in a timely manner according to established ECEC Selection/Enrollment Policy guidelines. Reviews applications for accuracy and eligibility. Conducts frequent in person, phone, and written contact with staff and families to obtain missing documentation or seek clarification on applications submitted.
  • Participates in the selection process. Notifies parents/guardians of enrollment status by phone and written contact. Assigns children to classrooms depending upon availability and in accordance with student enrollment eligibility criteria. Maintains a waiting list of children based on eligibility criteria and fills vacant slots in a timely manner to meet funding requirements.
  • Acts as the initial contact for parents/guardians interested in the ECEC program. Conducts tours of facility and provides program information to potential applicants.
  • Assists in continually improving the enrollment application process based on community and self-assessment results. Monitors the application enrollment system for process improvement opportunities and compliance with applicable standards.
  • Notifies designated staff of all student enrollments and withdrawals.
  • Transfers enrolled children among program options according to eligibility requirements and parent request.
  • Assists supervisor in designing an effective recruitment process for children. Prepares and distributes printed recruitment materials (i.e., newspaper advertisements, flyers, brochures, etc.) to the community to generate interest in the ECEC program. Represents ECEC at events as part of the recruitment process.
  • Coordinates orientations with parents of incoming students, ensuring enrollment paperwork is completed and accurate.
  • Ensures that all sensitive/confidential application data/records are properly maintained. Attends meetings and trainings as required.
  • Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Knowledge of:

  • Knowledge of proper procedures associated with handling confidential/sensitive information.
  • Knowledge of enrollment, recruitment, selection, eligibility and attendance requirements for Head Start.

Skilled in:

  • Skill in assessing and prioritizing individually assigned tasks in order to meet deadlines.
  • Skill in business English, spelling, and grammar.
  • Skill in identifying and maintaining the confidentiality of sensitive confidential information.
  • Skill in following complex oral and written instructions, policies, and procedures.
  • Skill in establishing and maintaining effective working relationships with staff and the public.

Ability to:

  • Ability to communicate effectively both orally and in writing.
  • Ability to maintain accurate and timely program records, according to prescribed standards.
  • Ability to utilize personal computer and related software, such as, but not limited to Microsoft Word, Excel, Access and Publisher, to fulfill job requirements.

Minimum Qualifications

Education and Experience: High school diploma or GED required. AA Degree highly preferred. Three (3) years experience in an office setting performing a variety of administrative support tasks including Microsoft Suite applications and office technology.

Preference: AA degree and working knowledge of Child Care Development Fund and Head Start Program Performance Standards.

Equivalency: Any equivalent combination of education and/or experience that would allow the candidate to satisfactorily perform the duties of this position, will be considered.

Underfill Eligibility: An enrolled Community Member whom closely qualifies for the minimum qualifications for a position may be considered for employment under SRPMIC Policy 2-19, Underfill.

Special Requirements

Due to the confidential and sensitive nature of this position, successful completion of an extensive background investigation is required. Incumbent is required to pass a basic physical examination and provide proof of immunizations at time of hire. Follow-up physical examinations and current immunizations are required and must be completed to maintain good employment status. Maintaining booster shots on immunizations and taking a TB skin test or x-ray annually is also required. Documentation of the above medical actions is absolutely essential for the file and for the health of the children in the Early Childhood Education Program. Incumbent must also obtain First Aid and CPR certification within the first three (3) months of employment from the date of hire and maintain certification subsequently.

  • At the time of hire, the incumbent must pass a basic physical examination and produce proof of a negative TB clearance and current immunizations, as well as fingerprint clearance.

Driving Requirement: This job description does not require the incumbent to drive; however, any employee who chooses or is asked to drive an SRPMIC vehicle for work related community business must receive authorization to do so. For clarification, work related community business includes driving to and from SRPMIC government sites and buildings.

Terms of Employment: This position is treated as a full-time non-exempt position scheduled for 40 hours per week.

Must be able to pass a Pre-Employment Drug Test and extensive Fingerprint and Background Check. Employee is Subject to Random Drug Testing and completion of a Background Check every five (5) years.
