    Under the direction of the Manager, will perform a wide variety of duties to provide clerical and administrative support. Activities include, but are not limited to: phones, billing, appointment scheduling, patient registration, office supply inventory, transcription, filing, insurance verification and other duties as assigned. Interacts with co-workers and members of other departments. Assists in unit operational support tasks; assists with Human Resources management; works cooperatively with others as part of a team and recognizes the importance of group goals. Responds to requests within authorized scope of knowledge and skills.

    Position Summary

    Under the direction of the Manager, the Education Coordinator provides comprehensive clerical, administrative, and operational support for the Respiratory Therapy department. This role serves as a key resource for coordinating departmental communications, physician support activities, staff training, scheduling, charge entry, payroll support, and productivity monitoring. The Education Coordinator works collaboratively with physicians, clinical staff, clerical personnel, volunteers, patients, and families to ensure efficient departmental operations and exceptional customer service.

    Essential FunctionsAdministrative & Clerical Support
    • Perform a wide variety of clerical and administrative duties including: Answering and directing telephone calls Appointment scheduling Patient registration Insurance verification Medical transcription Billing support Filing and records management Office supply inventory management Preparation of clinical documentation and discharge summaries
    • Respond to requests within the authorized scope of knowledge and skills.
    • Assist with unit operational support tasks and departmental projects.
    • Maintain departmental files, records, reports, and fiscal data in a confidential manner.
    Staff Training & Coordination
    • Lead and direct all clerical functions within the department.
    • Train clerical staff in front desk operations and customer service standards.
    • Ensure staff competency in registration, scheduling, charging, and data-entry processes.
    • Monitor volunteer work activities and coordinate schedules and assignments.
    Charge Entry & Revenue Cycle Support
    • Perform EPIC charge entry, edits, adjustments, and credits.
    • Maintain and update charge master information.
    • Process pre-certifications, denials, and appeals.
    • Manage department denials and assist with reimbursement activities.
    • Monitor productivity for all assigned cost centers and maintain administrative reporting data.
    Physician Support
    • Serve as a communication liaison between physicians and departmental leadership.
    • Assist physicians with licensure, credentialing applications, renewals, fees, and required documentation.
    • Develop and maintain monitoring systems for physician licenses, privileges, and certifications.
    • Assist with physician Continuing Medical Education (CME) tracking and compliance.
    • Coordinate physician conferences, meetings, and educational events.
    Payroll & Workforce Support
    • Serve as KRONOS editor for assigned cost centers.
    • Maintain competency in payroll software updates and processes.
    • Assist with Human Resources-related departmental functions.
    Communication & Customer Service
    • Maintain open and effective communication with leadership and department staff.
    • Greet and assist patients, families, physicians, and visitors in a prompt, courteous, and professional manner.
    • Ensure all individuals feel welcomed and respected.
    • Focus communication and service on the needs of those being served.
    Safety & Risk Management
    • Handle and maintain all confidential information in accordance with organizational policies and regulatory requirements.
    • Process record requests as appropriate.
    • Maintain a clean, organized, and safe work environment.
    Technology
    • Maintain proficiency in all applicable department software and equipment.
    • Demonstrate working knowledge of systems such as EPIC, KRONOS, and other departmental applications.
    • Participate in ongoing training and system updates as assigned.
    Minimum Qualifications

    Education

    • High School Diploma or equivalent required.
    • Coursework in clerical or administrative skills required.

    Experience

    • Minimum of two (2) years of experience in a medical office or healthcare administrative setting required.

    Knowledge, Skills & Abilities

    • Typing proficiency required.
    • Knowledge of medical terminology required.
    • Strong organizational, communication, and customer service skills.
    • Ability to manage multiple priorities in a fast-paced healthcare environment.
    • Ability to work independently and collaboratively as part of a team.
    • Proficiency with Microsoft Office applications and healthcare information systems.
    Preferred Qualifications
    • Five (5) years of experience in a medical office or healthcare administrative setting preferred.
    • Experience with EPIC, KRONOS, physician credentialing, charge entry, denials management, and scheduling systems preferred.
    • Experience training staff and coordinating departmental workflow preferred.

    About Company

    Our Mercy health system was founded by the Sisters of Mercy in 1986. But our heritage goes back more than 185 years. It began with an Irish woman named Catherine McAuley, who wanted to help the poor women and children of Dublin. Though Catherine had a modest upbringing, she received an unexpected inheritance that allowed her to fulfill her dreams. In 1827, she opened the first House of Mercy in Dublin, intending to teach skills to poor women and educate children. Many volunteers came to help.
