    JOB SUMMARY:
    Reporting to the Document Control Operations Manager, the Part Time Document Control Specialist, plays a crucial role in producing and maintaining technical project documentation, ensuring smooth information flow across departments. This position is essential for the successful execution of engineering projects, as it involves coordinating various administrative and technical tasks that contribute to the overall efficiency and effectiveness of the project execution team. The Document Control Specialist will work closely with sales, manufacturing, engineering, quality, service, and project management to facilitate timely and accurate communication, manage critical project data, and uphold the company’s commitment to quality and customer satisfaction.
     
    RESPONSIBILITIES:
    The Document Control Specialist will be expected to:
    • Monitor and track operations metrics and maintain databases
    • Provide clerical and administrative support to the sales, operations and document control departments.
    • Ensure that technical sales proposals, Operation & Maintenance (O&M) Manuals, and Material Data Records (MDR) are constructed according to internal, customer, and industry standards.
    • Maintain and organize documentation within project management and engineering technical review software to facilitate easy access, retrieval, and version control.
    • Develop strong project knowledge to provide real-time project status updates and anticipate customer needs.
    • Manage external customer document submittal portals
    • Coordinate with sales, project management, and other departments to ensure timely review, submission/transmittal, and approval of documentation
    • Analyze data to identify trends and issues, creating reports to inform decision-making
    • Interface with other departments to streamline cross-functional information transfer
    • Support and maintain documentation workflows, processes, and playbooks
    • Ensure compliance with company policies and procedures in all tasks
    • Consistently demonstrate and uphold the company’s four core values through actions, decisions, and interactions
    • Foster a respectful, inclusive, and collaborative environment that supports learning and teamwork
    • Other responsibilities and duties as assigned, to ensure the effective utilization of the company’s resources and to ensure customer satisfaction
     
    SKILLS & QUALIFICATIONS:
    • Proficiency in MS Office applications (Excel, Word, Outlook, SharePoint)
    • Proficiency with documentation tools, Markdown, or content management systems
    • Strong knowledge of document control processes and best practices, including electronic document management systems
    • Comfort operating in a technical environment
    • Willingness to learn and understand technical terminology and systems
    • Attention to detail and ability to ensure document accuracy and completeness
    • High level of organization and ability to work independently
    • Ability to manage competing priorities in a fast-paced environment
    Preferred
    • Demonstrate experience supporting a large group of diverse professional staff
    • Excellent technical skills with web-based applications and Microsoft Office applications, including technical writing
    • Ability to compile and edit presentation details from multiple people and sources
    • Experience with Enterprise Resource Planning and Customer Relationship Management systems
    EDUCATION & EXPERIENCE:
    • Associate’s degree in technical business, or related discipline with significant relevant experience
    • 2 to 4 years of experience in technical writing, document control, operations administration or a related field
    • Excellent technical skills with web-based applications and Microsoft Office applications, including technical writing
    Preferred
    • Experience in capital or commercial equipment
    • Experience in a similar role within an engineering or technical environment
    • Additional certifications or training in project management or document control
    • Demonstrated experience supporting a large group of diverse professional staff
