Description

Job Title: Document Control SpecialistJob Description

The Document Control Specialist supports the document control team and project managers by organizing, maintaining, and distributing project documentation for engineering projects. This role helps set up and manage documentation for multiple small projects and assists on medium and larger projects as needed, ensuring accuracy, consistency, and compliance with established standards and procedures.

Responsibilities

  • Assist the document control team and project managers in organizing and managing documentation for engineering projects.
  • Set up document control systems and processes for multiple small projects and support documentation activities on medium and larger projects as needed.
  • Collaborate with team members to develop, implement, and maintain document control standards and procedures.
  • Communicate document system procedures clearly to project team members to ensure consistent use and compliance.
  • Coordinate the collection, review, and distribution of documents with multiple engineers to meet project needs and deadlines.
  • Compile electronic project data books and ensure all required documentation is complete, accurate, and properly formatted.
  • Issue transmittals to clients and vendors, ensuring correct documentation is delivered and properly recorded.
  • Process vendor submittals, including logging, tracking, routing for review, and updating records as needed.
  • Package electronic documents for clients, vendors, and internal stakeholders, ensuring secure and accurate distribution.
  • Notify appropriate personnel of troubleshooting issues related to vendors, clients, or document workflows and assist in resolving them.
  • Monitor document workflows for the project team to ensure timely reviews, approvals, and distribution.
  • Perform other document control and administrative duties as assigned to support project and team needs.
  • Comply with all organizational policies, procedures, and standards related to document control and quality assurance.

Essential Skills

  • High school diploma or GED with 3 years of applicable document control or related experience, or equivalent applicable experience in lieu of formal education.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Access.
  • Accurate and efficient data entry skills with strong attention to detail.
  • Experience in document control processes, including document tracking, version control, and distribution.
  • Ability to perform basic quality assurance checks on documents to ensure accuracy and completeness.
  • Strong organizational skills with the ability to manage multiple projects and priorities simultaneously.
  • Effective communication skills to explain document system procedures and coordinate with engineers, clients, and vendors.

Additional Skills & Qualifications

  • Experience using document control or project platforms such as Hexagon, Procore, and SharePoint.
  • Familiarity with compiling electronic project data books and issuing transmittals.
  • Experience working in an engineering or project-based environment.
  • Ability to troubleshoot basic issues with document workflows and escalate concerns appropriately.
  • Demonstrated commitment to following policies, procedures, and standards.

Work Environment

The Document Control Specialist works in a professional, project-driven environment that supports engineering and construction-related activities. The role primarily involves computer-based work using tools such as Microsoft Office, Hexagon, Procore, and SharePoint to manage electronic documents and workflows. Work typically follows standard business hours, with periods of higher activity when multiple projects are active or key deadlines approach. The position involves frequent collaboration with project managers, engineers, clients, and vendors, requiring clear communication and a focus on accuracy and quality in all documentation.

Job Type & Location

This is a Contract to Hire position based out of Kansas City, MO.

Pay and Benefits

The pay range for this position is $25.00 - $27.00/hr.
