JOB TITLE: Document Control Specialist

LOCATION: Austin, TX
DURATION: 3-6+ month contract with the possibility of extensions/conversion to FTE - 60 hours/week
RATE RANGE: $48-50/hour

POSITION SUMMARY:

We are seeking an experienced Document Control Specialist to serve as the cornerstone of our information management system on a large-scale project. This role manages the full documentation lifecycle—from creation through archival—ensuring integrity, accessibility, and compliance across all project deliverables. The successful candidate will coordinate across departments, external partners, clients, and contractors to maintain operational excellence in a fast-paced engineering/construction environment.

RESPONSIBILITIES:

  • Manage the full lifecycle of project documentation: receipt, formatting, distribution, tracking, filing, and archiving
  • Coordinate and distribute RFIs, submittals, transmittals, drawings, specifications, reports, and other deliverables
  • Upload and organize files in EDMS with appropriate metadata; create and maintain document placeholders and records
  • Assemble documents into appropriate design and turnover packages
  • Initiate, track, and expedite document review cycles; proactively follow up with reviewers to meet deadlines
  • Perform quality checks on incoming/outgoing documentation for compliance with project requirements and company standards
  • Prepare and issue transmittals and information exchanges to clients, contractors, and stakeholders
  • Maintain accurate document registers, distribution matrices, and project records
  • Generate regular reports and metrics on RFIs, submittals, document status, open workflows, and review performance
  • Provide backup coverage for fellow Document Controllers during planned and unplanned absences
  • Mentor junior document controllers and support cross-training initiatives
  • Contribute to continuous improvement of document control standards and procedures

QUALIFICATIONS:

  • Bachelor's degree in Engineering or equivalent relevant experience
  • 7–10 years of document control experience in EPC, engineering, construction, manufacturing, infrastructure, or related industries
  • Experience supporting large, multidisciplinary projects; mega-project experience (~$1B+, 4+ years) preferred
  • Proven ability to maintain data integrity across large document sets (10,000+ records)
  • Advanced proficiency with Microsoft Office Suite, especially Excel
  • Proficiency with at least one major EDMS platform (see preferred list below)
  • Strong understanding of document control principles, revision management, and records management
  • Exceptional organizational skills, attention to detail, and commitment to accuracy
  • Superior written and verbal communication skills; able to train non-technical staff
  • Ability to manage multiple priorities and deadlines independently

PREFERRED SKILLS

  • Aconex, Autodesk Construction Cloud, or SharePoint (strongly preferred) 
  • Procore, ProjectWise, OpenText, or Bluebeam Revu/Studio
  • Basic scripting skills (PowerShell, VBA)
