Position Overview:

The Document Control Lead is responsible for establishing, managing, and governing the document control function across the Capital Projects organization. This role ensures all project documentation is accurate, standardized, and properly controlled throughout the project lifecycle-from engineering and procurement through construction, commissioning, and handover. The position plays a critical role in enabling execution excellence, regulatory compliance, and seamless project delivery.

Position Responsibilities:

  • Lead and manage the document control function across all capital projects, ensuring consistency, accuracy, and timely processing of documentation.
  • Establish and enforce document control processes, procedures, and standards, including naming conventions, workflows, version control, and audit trails.
  • Oversee implementation and management of document management systems (DMS), ensuring proper configuration, user adoption, and data integrity.
  • Coordinate with engineering, procurement, construction, commissioning, and project controls teams to ensure proper submission, review, approval, and distribution of documents.
  • Manage document lifecycle from creation through final turnover, including vendor documents, drawings, specifications, and as-built records.
  • Ensure compliance with internal governance, contractual requirements, and regulatory standards.
  • Support project closeout activities, including turnover packages, final documentation, and records retention.
  • Lead and develop a team of document control specialists (as applicable), including training, performance management, and capability building.
  • Drive continuous improvement in document control processes based on project feedback, lessons learned, and industry best practices.

Basic Qualifications:

  • Bachelor's degree in a relevant field or equivalent experience.
  • 8+ years of experience in document control within large-scale capital projects, industrial, or manufacturing environments.
  • Strong understanding of document control processes across the full project lifecycle.
  • Experience with document management systems (e.g., Aconex, Procore, SharePoint, or similar platforms).
  • Proven ability to manage high volumes of complex documentation with accuracy and discipline.
  • Strong organizational, communication, and stakeholder management skills.

Desired Qualities:

  • Experience in mining, energy, chemicals, or heavy industrial sectors.
  • Prior experience leading document control teams on major capital projects.
  • Familiarity with engineering document workflows, drawing standards, and vendor data requirements.
  • Knowledge of project controls interfaces (cost, schedule, reporting).
