Job Summary
We are hiring immediately for a Dispatcher/Office Administrator to join our team. In this role, you will help keep our office running smoothly and efficiently by coordinating administrative tasks and daily office procedures.

Responsibilities include scheduling service technicians, communicating and negotiating with vendors, maintaining office equipment, and supporting day-to-day office operations. The ideal candidate is highly organized, has excellent verbal and written communication skills, and is comfortable developing and following efficient systems and procedures. Proficiency in Microsoft Office Suite (Word, Excel, and Outlook) and QuickBooks Online is preferred.



Responsibilities 
  • Maintain calendar of appointments and meetings
  • Design the office layout with efficiency and organization in mind
  • Collaborate with human resources to create, update, and maintain office procedures
  • Maintain office equipment in good working order with the assistance of the IT department
  • Pay and record invoices
  • Negotiate contracts and pricing with vendors and service providers
  • Accurately maintain general office budget 
Qualifications
  • High school diploma/GED required, some college preferred
  • Previous experience as an Office Manager or similar position preferred
  • Understanding of office equipment, systems, and procedures
  • Skilled in Microsoft Office, Excel, and Outlook
  • Excellent time management skills and ability to prioritize multiple tasks
  • Strong problem-solving skills and attention to detail
  • Excellent verbal and written communication skills
  • Skills:

    • Technical Proficiency: Strong command of Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace, along with familiarity with basic accounting or CRM software. 
    • Organizational Abilities: Exceptional time-management skills with the capacity to prioritize tasks and multitask in a fast-paced environment. 
    • Communication: Clear verbal and written communication for professional interactions across all organizational levels. 
    • Problem-Solving: Ability to troubleshoot unexpected office challenges independently and efficiently. 
    • Discretion: Capability to handle sensitive and confidential company or personnel information responsibly.
    •  Physical Demands:

      ·          Able to lift 30 LBS
      ·         Able to stand and walk for extended periods of time
      ·         Environmental exposure -seasonal outdoor temperatures
      ·         Able to Squat, Kneel, bend and stretch
       

      HOURS &Workday

           . Monday – Friday 8:00 am – 4:30 pm ,or when previously discussed, Business requirements for overtime and weekends vary

      Wages are determined based on experience at the time of hire date
