Description

Title: Dispatch/Office Manager
Location: Amityville, NY
Schedule: Monday–Friday, 7:00 AM–5:00 PM + Saturday, 9:00 AM–3:00 PM
Compensation: $30.00/ per hour

We are seeking an experienced and hands-on Dispatch/Office Manager to oversee the day-to-day operations of a busy towing and transportation environment. This position will play a key leadership role in coordinating dispatch, managing logistics, supporting field operations, and overseeing the administrative/office functions of the business.

The ideal candidate is highly organized, calm under pressure, and comfortable working in a fast-paced environment where priorities can change quickly. This individual should have strong leadership and communication skills, along with the ability to take ownership of operations and ensure that both office and field activities run efficiently.

Your Contributions

 
  • Oversee daily towing dispatch and scheduling operations.
  • Coordinate drivers, tow operators, customers, vendors, and service requests.
  • Assign calls and jobs based on location, availability, urgency, and operational priorities.
  • Monitor active calls and ensure jobs are completed in a timely and efficient manner.
  • Manage changes, delays, cancellations, and last-minute service requests.
  • Maintain accurate dispatch records, schedules, and operational documentation.
  • Serve as a point of escalation for customer or driver issues.
  • Ensure effective communication between the office, dispatch team, drivers, and management.
  • Oversee the daily workflow and productivity of the office/operations team.
  • Provide direction, leadership, and support to administrative and dispatch personnel.
  • Establish and maintain efficient office and operational procedures.
  • Monitor staffing, schedules, workload, and coverage needs.
  • Help train and onboard new offices and dispatch employees.
  • Hold team members accountable for performance, attendance, communication, and adherence to company procedures.
  • Identify operational issues and implement solutions to improve efficiency.
  • Assist ownership/management with day-to-day business operations and special projects.
  • Maintain a professional, organized, and productive office environment.
  • Handle escalated customer concerns and service issues professionally.
  • Communicate with insurance companies, roadside assistance providers, repair facilities, municipalities, vendors, and other business partners as needed.
  • Ensure customers receive timely updates regarding service status and estimated arrival times.
  • Maintain strong working relationships with drivers, customers, vendors, and internal staff.
  • Review and maintain dispatch, job, and service records for accuracy.
  • Assist with billing, invoicing, documentation, and related administrative processes.
  • Monitor operational metrics and identify opportunities for improvement.
  • Assist with payroll/timekeeping verification and other administrative functions as needed.
  • Ensure company policies, procedures, and safety standards are consistently followed.

Bringing to the Table

  • Previous experience in towing, transportation, logistics, dispatch, fleet operations, roadside assistance, or a similar fast-paced environment required.
  • Prior supervisory or management experience is strongly preferred.
  • Strong understanding of dispatching, scheduling, routing, and coordinating field personnel.
  • Excellent organizational and multitasking abilities.
  • Strong leadership and decision-making skills.
  • Ability to remain calm and professional in a high-pressure environment.
  • Excellent verbal and written communication skills.
  • Strong customer service skills.
  • Comfortable working with computers, scheduling/dispatch software, email, and Microsoft Office.
  • Ability to prioritize competing demands and make quick, practical decisions
  • Must be dependable, accountable, and willing to take ownership of day-to-day operations.
