    Description

    Systems Intelligence seeks a systematic and self-directed Directorate Operations Specialist with

    a proven track record of coordinating diverse administrative functions and managing

    complex tasking structures to support the Nuclear Technology and Integration Directorate of the Air Force Nuclear Weapons Center at Kirtland Air Force Base.

    Responsibilities

    • Manage internal and external taskers, estimated to be approximately 80 active taskers weekly, received through official workflows and the Task Management Tool (TMT) and track task completion status for AFNWC/NT divisions and individuals (including quarterly status report to the NT Director of Staff).

    • Monitor incoming emails from all assigned AFNWC workflows, proactively identifying potential bottlenecks or disruptions, anticipating needs and addressing issues immediately to ensure customer satisfaction

    • Serve as a quality control checkpoint to ensure the highest accuracy of all staff packages, correspondence, and resources submitted to AFNWC/NT and external Senior Leadership

    • Review documents, correspondence, and briefings prepared for senior leaders, for completeness and compliance with established standards (e.g., Air Force Handbook (AFH) 33-337 "The Tongue and Quill").

    • Assist AFNWC/NT front office staff in maintaining an effective and up-to-date AFNWC/NT SharePoint site.

    • Prepare for, coordinate, assemble, and execute actions associated with key AFNWC/NT meetings and forums, including agenda, coordinating with stakeholders for presentations, meeting invitations, VTC preparation, managing the meeting flow, and documenting key decisions and action items, and presentations as needed.

    • Serve as the primary records manager for AFNWC/NT operations and act as the primary liaison to the Base Records Management Office.

    • Assist with the compilation, formatting, and tracking of personnel-related packages and documentation.

    • Manage all physical and digital correspondence with strict adherence to information security and routing protocols, overseeing all internal and external postal operations, maintaining a meticulous, auditable log for all incoming and outgoing accountable, sensitive, or certified mail to ensure strict chain-of-custody.

    • Serve as a Defense Travel System (DTS) Preparer, proactively assisting NT Front Office personnel with official travel scheduling and the timely creation of travel authorizations, vouchers, and VARs

    • Complete special projects and tasks as defined by AFNWC/NT leadership to improve or document directorate processes, workflows, management tools, training, audits, events, or other non-routine activities.

    • Serve as primary point of contact for all directorate awards programs, maintaining a consolidated awards schedule, tracking critical suspense dates, and routing packages across operating locations.

    Qualifications

    • An active DoD Secret security clearance is required for consideration.

    • Bachelor's degree from an accredited academic institution.

    • Minimum of three (3) years of experience executing professional clerical procedures with a DoD or corporate office environment.

    • Proven ability to effectively facilitate, distribute, and track official tasks and deadlines across multiple directorates or locations.

    • Minimum of one (1) year of training management experience, including coordinating training schedules, tracking training compliance, and compiling training status metrics.

    • Demonstrated personnel management support experience, including processing of standardized personnel forms and operating automated personnel databases.

    • Excellent written and oral communication skills, including the ability to compose non-technical business correspondence.

    • A proven ability to collaborate effectively with diverse staff personnel to assemble information and complete products.

    • The ability to understand and maintain awareness of the organization's substantive programs, goals, priorities, and challenges to provide effective support.
