    Job Description Summary

    The Director of Student Financial Aid serves as the chief administrator of the Financial Aid Office and administers a comprehensive student financial aid program consisting of federal, state, institutional, and local funds. The Director oversees the receipt, evaluation, and approval of financial aid applications and awards; establishes and maintains effective office procedures and records; ensures the effective and efficient use of financial aid management systems and technology; prepares or supervises required and ad hoc reports; and ensures the College's administration of financial aid programs complies with applicable federal and state laws, regulations, policies, and institutional requirements.

    Minimum Qualifications

    Required:

    • Bachelor's degree;
    • Minimum of five or more years of experience in all aspects of college student financial aid administration are required; or equivalent combination of education and experience
    • Previous experience as Director, Associate, Assistant Director or Manager of a program of similar complexity and scope
    • Previous experience with a highly automated financial aid management system

    Essential Duties

    Essential Job Duties and Responsibilities: include the following and additional duties as needed.

    • Ensures that the College maintains exception-free audits and program reviews by remaining current on all federal and state laws and regulations governing financial aid programs; implementing, reviewing, and modifying office procedures as needed; ensuring required reports are accurate and timely; maintaining appropriate documentation; and serving as the primary liaison to program reviewers and auditors.
    • Develops, reviews, maintains, and periodically updates Standard Operating Procedures (SOPs) for the Financial Aid Office to promote consistent practices, regulatory compliance, continuity of operations, effective training, and quality service delivery.
    • Establishes and regularly evaluates clear task ownership, roles, and responsibilities among Financial Aid staff; assigns work based on operational needs and staff capacity; identifies opportunities to streamline processes and eliminate duplication; and promotes accountability, cross-training, and efficient workflow across the office.
    • Ensures that the automated financial aid information system, document management system, and other technologies are used efficiently and effectively. Serves as liaison between Financial Aid personnel, Information Technology Services, software providers, other service providers, and other College offices.
    • Contributes to the accomplishment of the College's enrollment management objectives by recommending data-informed financial aid strategies within the framework of federal and state regulations and by administering financial aid, scholarship, and student employment programs that support student recruitment, enrollment, persistence, and completion.
    • Contributes to student satisfaction through the delivery of timely, accurate, accessible, and high-quality customer service in all aspects of financial aid and student employment services.
    • Develops a competent, productive, and effective departmental staff by hiring, training, coaching, supervising, and evaluating staff and student employees, both directly and through appropriate delegation.
    • Maintains open and effective communication across all supervised areas through staff meetings, individual meetings, team communications, and other appropriate channels. Promotes a culture of collaboration, accountability, continuous improvement, and shared responsibility.
    • Ensures that students are accurately and timely informed about their eligibility for financial aid by directing systems and processes for collecting and evaluating applications and awarding all types of financial aid.
    • Ensures that students and parents are well informed about the availability and requirements of financial aid by directing effective public information and outreach efforts, including written materials, personal interviews, workshops, presentations, and other communication strategies.
    • Ensures that the College maximizes opportunities for student employment, both on campus and in the community, and administers applicable student employment programs in accordance with federal, state, and institutional requirements.
    • Maintains effective communication and collaboration across the College to ensure that campus partners understand financial aid requirements, timelines, processes, and the work of the Financial Aid Office. Represents the office on appropriate College committees and communicates accomplishments, challenges, and opportunities to relevant stakeholders.
    • Helps ensure that financial aid funds are managed and spent appropriately by preparing, monitoring, and administering budgets for financial aid, student employment, scholarships, and other related accounts.
    • Contributes to the development of effective financial aid policy at the state and federal levels by participating in opportunities for input and engagement provided by the U.S. Department of Education, the State of North Carolina, and relevant professional associations.
    • Facilitates a work environment that encourages knowledge of, respect for, and development of skills to engage effectively with all individuals.
    • Serves on the Enrollment Management Leadership Team to review, revise, and coordinate registration and enrollment campaigns throughout the academic year.
    • Collaborates closely with Admissions/Records, Student Success Center, Business Office, Foundation, Instructional Services, Student Support Services, and other College offices to develop effective workflows, communications, and individualized support for students seeking financial resources.
    • Uses data, operational metrics, student feedback, and staff input to evaluate Financial Aid processes, identify service and efficiency gaps, and implement continuous improvements that enhance compliance, operational effectiveness, and the student experience.

    Supervisory Responsibilities:

    • Directly supervises assigned staff.
    • Carries out supervisory responsibilities in accordance with College policies and applicable laws.
    • Responsibilities include recruiting, interviewing, hiring, onboarding, and training employees; planning, assigning, and directing work; establishing clear expectations and accountability; appraising performance; providing employee feedback and corrective action as necessary; addressing complaints; and resolving problems.
