POSITION SUMMARY:
The Director of Project Management owns detailed planning and execution on Haynes Mechanical's design-build mechanical projects — schedule, budget, procurement, permitting coordination, and change order management — from contract award through closeout. The Director of Project Management leads Project Managers (who own field execution), Project Coordinators, and Mechanical Estimators (who own pricing and assist with scope development).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
This job description gives an overview of the overall essential functions, competencies, skills, and abilities for the Director of Project Managment role. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other duties may be assigned:
Planning & Scheduling - Support Project Managers in developing and maintaining a master schedule for each assigned project from contract award through closeout. Lead look-ahead scheduling, identify potential delays early, and retain ultimate accountability for schedule performance.
Budget & Cost Control - Own project budgets by tracking cost-to-complete against the schedule of values, monitoring labor and material spending, and reporting variances to leadership before they escalate.
Design-Build Scope - Guide Project Managers through the handoff from Estimating at contract award, converting the estimate into an actionable scope, schedule, and procurement plan. This is where the role adds the most value, particularly when scope is still being finalized as work begins.
Permitting - Ensure Project Coordinators and mechanical engineers manage jurisdictional requirements, submission schedules, and follow-up for every assigned project. Build realistic permit lead times into the schedule to prevent mid-project delays.
Procurement - Ensure Project Managers track long-lead equipment and materials against the project schedule, escalating risks before delivery delays affect planned start dates.
Change Orders - Collaborate with Project Managers to proactively identify changes in project scope, develop accurate pricing and supporting documentation, and secure customer approval prior to commencing additional work—helping protect project schedules, contractual compliance, and gross margin.
Client Communication - Serve as the primary escalation point for the customer during execution; run progress updates and manage expectations, separate from the sales relationship.
Field Coordination - Work daily with Project Managers, Coordinators, Estimators, and Project Technicians to translate the plan into field direction.
Documentation & Closeout - Maintain submittals, RFIs, and project files in a consistent, auditable format; drive on-time closeout and turnover.
