What you’ll do: This position focuses on two key areas: leading the Client Journey/Service team and managing the metrics that measure firm performance. You’ll oversee daily team operations while also building the systems, KPIs, and regular reports that provide leadership with clear insights into client service, marketing, and sales—owning performance data and communication across departments (though not managing sales staff). We’re seeking someone energized by precision, documentation, and follow-through—an analytical, decisive leader who excels at building processes and making results measurable. You’ll also support hiring and onboarding and serve as the main coordination point between Client Service, Marketing, and Sales for data and reporting. Client Journey & Service Team Oversight - Directly manage the Client Journey/Service team's daily operations and workload
- Set, document, and enforce client experience standards and workflows
- Monitor team capacity, quality, and turnaround against defined standards
- Hold monthly one-on-one check-ins with team members
- Coach team members against KPIs; escalate and resolve performance gaps
- Ensure CRM and client journey systems are followed consistently across the team
KPI Tracking, Reporting & Systems - Set up and maintain the systems/dashboards that track KPIs across client service, marketing, and sales
- Collect, verify, and consolidate the numbers weekly from all three departments, including sales activity and results
- Deliver a standardized weekly report to the leadership team — accurate, consistent, and on time
- Identify trends, flag anomalies, and translate raw numbers into decision-ready insight
- Own the firm's single source of truth for performance data
Hiring & Onboarding Support - Partner in recruiting, screening, and hiring for Client Service roles and others as needed
- Build and maintain structured hiring processes — postings, screening criteria, interview scorecards
- Help lead onboarding for new hires
Day-to-Day Operations - Oversee day-to-day operations of the firm
- Create and maintain an SOP system so processes are documented and repeatable
- Manage CRM data integrity and quality control across departments
- Assist with compliance requests, submissions, and adherence to compliance rules
What We’re Looking For: - Bachelor’s degree in business, management or related field preferred
- Minimum of 3–5 years managing a team and/or a reporting/KPI function
- Experience building or maintaining tracking systems, dashboards, or CRM workflows
- Comfortable holding a team accountable to numbers and standards, not just activity
- Strong systems and process orientation — builds structure rather than working around the lack of it
- High attention to detail and accuracy, especially in numbers and reporting
- Direct, standards-based leadership style; comfortable with accountability conversations
- Results-oriented with a track record of hitting numbers and deadlines consistently
- Microsoft Office / Excel proficiency; CRM experience (e.g. Wealthbox); project management tool experience
- Prior experience in the financial services industry a plus

- Support hiring and onboarding processes
- Provide firm leadership with actionable reporting and a strong operational foundation to support strategic growth

Schedule: - Monday – Thursday, 8:30am – 5:00pm (in office)
