Lead and oversee the Firm’s IP Operations department, including docketing, PCT, and foreign filing resources and personnel, and continuously develop departmental procedures and policies, with the use of technology, to ensure efficient, accurate, consistent, and operational excellence for the Firm and its clients. This role drives innovation within the department, oversees high-performing teams, and ensures Initiatives are executed timely, within budget, and aligned with the Firm’s goals and strategic objectives.
This position is responsible for leading the day-to-day operations of the Intellectual Property (IP) department, ensuring patent, trademark, and foreign filing processes are completed accurately, efficiently, and on time.
What You'll Be Responsible For:
1. Managing IP Operations Teams
Lead and oversee the Docketing, PCT, and Foreign Filing teams.
Provide guidance, training, and performance management.
Ensure workloads are distributed effectively and deadlines are met.
2. Overseeing Patent & Trademark Deadlines
Ensure all patent and trademark deadlines are properly tracked and entered into the firm's docketing system.
Monitor filings with the USPTO and international patent offices.
Prevent missed deadlines and maintain compliance.
3. Managing Foreign and International Filings
Oversee Patent Cooperation Treaty (PCT) filings and foreign patent filings.
Coordinate with foreign associates and international patent offices.
Ensure filings and supporting documentation are submitted accurately and on time.
4. Driving Process Improvement and AI Initiatives
Identify opportunities to improve workflows and operational efficiency.
Implement new technologies and AI tools to streamline processes.
Develop and maintain best practices across the department.
5. Data Analysis & Reporting
Manage IP-related reporting and operational metrics.
Ensure data accuracy across databases and systems.
Generate reports for attorneys and leadership teams.
Monitor data quality and identify inconsistencies.
6. Cross-Functional Collaboration
Work closely with attorneys, legal assistants, accounting, HR, IT, and firm leadership.
Resolve operational issues and improve communication between departments.
Support firm-wide strategic initiatives.
7. Vendor and Systems Management
Oversee relationships with IP service providers and vendors.
Manage key IP systems such as CPI, IPDAS, and document management platforms.
Ensure systems are functioning effectively and supporting business needs.
8. Ensuring Operational Excellence
Develop policies and procedures for the department.
Maintain service quality, accuracy, and efficiency.
Ensure adequate staffing and business continuity during holidays or emergencies.
Strong technical knowledge of IP docketing and record management systems and processes.
Proven knowledge and ability to effectively manage domestic and foreign IP prosecution
dockets (patents, trademarks, copyrights) and oversee IP records.
Proven leadership and organization abilities, as well as exceptional oral and written
communication skills, and sound judgment.
Proficiency in Microsoft Office Suite and/or related software, docketing systems, and the ability
to effectively utilize various applications such as iManage, CPI, and IPDAS.
Familiarity with recent developments in the use of AI functionality in IP Operations systems.
Ability to effectively work in a fast-paced environment, and manage conflicting priorities,
Familiarity with USPTO, WIPO, and international filing systems, procedures, and requirements.
Knowledge of electronic filing systems and databases.
Ability to delegate tasks, evaluate performance, and develop staff.
Commitment to accuracy, confidentiality, and compliance.
EDUCATION & EXPERIENCE:
At least eight (8) years of relevant IP experience and at least three (3) years in a supervisory role.
Bachelor’s or master’s degree in a related area or a combination of specialized IP training with experience.
