Working Hours and/or Working Conditions Typical office environment. Occasional work beyond normal business hours may be required. Travel between campuses and to off-campus locations is required. Participation in professional development activities is expected.

Ability to work effectively and collaboratively with employees at all levels of the college. Strong oral, written, and interpersonal communication skills. Strong analytical skills and experience in budget development and management. Ability to understand, interpret, and apply complex funding guidelines and regulations. Ability to provide guidance and support to college employees to ensure compliance with funding agencies and regulatory requirements. Ability to work cross-functionally and support a wide variety of projects related to grant development and administration. Ability to thrive in a fast-paced environment, manage multiple priorities, and meet deadlines. High level of professionalism, discretion, and confidentiality. Ability to execute projects with diplomacy and sound judgment. Previous experience working in a higher education environment preferred.

Job Function

Formulates, administers, and evaluates institution-wide grant strategies, policies, and priorities. Provides strategic leadership, coordination, and oversight of the Grants Office, directing grant development, administration, compliance, and performance management to strengthen organizational capacity, expand funding opportunities, and advance institutional excellence and long-term sustainability.

Job Responsibilities

  • Provides leadership and strategic direction for the Grants Office.
  • Reviews, prepares, and analyzes grant and contract proposals, and provides support to college administrators and managers to ensure compliance with applicable requirements and guidelines.
  • Leads the coordination of all aspects of proposal development with appropriate college personnel and departments, including the development of proposal budgets.
  • Provides oversight of activities related to identifying and pursuing external funding opportunities that support college-wide goals and priorities.
  • Hires, plans, directs, reviews, and evaluates the work of external consultants engaged in proposal development for the College, as appropriate.
  • Coordinates grant support services for site visits and audits conducted by funding agencies, working collaboratively with the Budget Office to ensure appropriate financial support and documentation.
  • Serves as the primary point of contact for providing information and documentation requested by auditors and funding agencies.
  • Maintains current knowledge of federal, state, and private grant regulations and reporting requirements, and coordinates the timely completion of monthly, quarterly, and final programmatic and financial reports with appropriate college personnel and departments.
  • Provides oversight of training related to funder regulations and college policies, processes, and procedures to ensure that college personnel administer funded programs in compliance with funder guidelines.
  • Leads the coordination of the institutions grant-funded equipment inventory process with appropriate personnel and departments.
  • Coordinates the development of grant-related project summaries, final reports, and the annual grants report for the Board of Trustees.
  • Serves as the College liaison to federal, state, and private funding agencies.
  • Recommends improvements to Grants Office policies, procedures, and operational practices.
  • Facilitates grant planning meetings with college personnel and departments to proactively identify and develop grant-ready projects aligned with the institutions strategic priorities.
  • Leads discussions with college personnel and departments to ensure the long-term sustainability of successful grant-funded initiatives and programs.
  • Chairs the institutions Grant Council, composed of executive leaders, to identify, evaluate, and prioritize funding requests.
  • Leads the coordination of all aspects of the Strategic Fund process, including proposal development and budget preparation, in collaboration with appropriate college personnel.
  • Oversees the management and maintenance of databases and systems used to record and track grants, historical grant data, and Strategic Fund activities.
  • Hires, directs, evaluates, disciplines, and develops Grants Office staff.
  • Performs other duties as assigned.

Education

Bachelor's degree or higher in business or related field. Masters degree preferred.

Qualifications

  • Minimum of five years of experience in grant development and administration, including budget development.
  • Demonstrated experience interpreting and applying grant regulations, policies, and procedures.
