Position Summary

Full Circle Youth Empowerment is seeking an experienced and strategic Director of Finance to oversee the organization’s financial operations, ensure financial integrity, and support its long-term sustainability. This key leadership position is responsible for managing day-to-day accounting operations, payroll, budgeting, financial reporting, grant accounting, and regulatory compliance.

Reporting to the CEO, the Director of Finance will provide financial guidance to organizational leadership and the Board of Directors, ensuring accurate financial reporting, responsible stewardship of resources, and compliance with nonprofit accounting standards and funding requirements.

The ideal candidate will bring extensive experience in nonprofit accounting, fund accounting, government and foundation grant management, financial reporting, and audit preparation. This individual will demonstrate strong analytical skills, exceptional attention to detail, and a commitment to advancing Full Circle Youth Empowerment’s mission.

Key Responsibilities:

1. Financial Operations and Reporting

• Oversee day-to-day accounting operations, including accounts payable, accounts receivable, bank reconciliations, and vendor management.
• Reconcile all balance sheet accounts, bank accounts, and credit card accounts monthly.
• Perform monthly, quarterly, and year-end closing activities.
• Prepare accurate and timely financial statements and monthly reports for the CEO, leadership team, and Board of Directors.
• Maintain accurate fund accounting for restricted and unrestricted funds.
• Monitor cash flow and provide financial analysis to support organizational decision-making.
• Ensure financial records are complete, accurate, and audit-ready.
• Maintain financial tracking and reporting systems using QuickBooks.

2. Payroll and Timekeeping

• Manage and process biweekly payroll for approximately 11 employees using Asure.
• Review and verify timesheets for accuracy and completeness.
• Ensure payroll expenses are properly recorded in QuickBooks and allocated to the appropriate programs and funding sources.
• Maintain accurate payroll records and ensure compliance with applicable payroll and employment requirements.

3. Budgeting and Financial Planning

• Develop, implement, and manage the annual organizational budget in collaboration with the CEO and program leadership.
• Monitor revenue, expenditures, and budget performance across programs and funding sources.
• Analyze financial trends, identify potential risks, and recommend strategies to maintain financial stability.
• Support organizational planning and decision-making through financial forecasting and analysis.
• Maintain accurate credit card reporting and expense documentation using RAMP.

4. Grant Accounting and Compliance

• Manage financial activities for government, state, federal, and private foundation grants.
• Track grant revenue and expenditures by funding source, program, and approved budget category.
• Monitor grant budgets to ensure expenditures remain within approved funding limits.
• Prepare grant reimbursement requests, financial reports, and supporting documentation.
• Maintain complete grant financial files for audits, monitoring visits, and compliance reviews.
• Ensure compliance with grant agreements, applicable Uniform Guidance requirements under 2 CFR Part 200, and funding agency regulations.
• Apply organizational cost allocation policies consistently across programs and funding streams.
• Collaborate with program staff to monitor spending, review budget performance, and ensure appropriate use of grant funds.

5. Compliance and Audit Management

• Ensure timely preparation and filing of IRS Form 990 and other required nonprofit financial filings.
• Coordinate and support annual financial audits and workers’ compensation audits.
• Maintain compliance with Generally Accepted Accounting Principles (GAAP), nonprofit accounting standards, and applicable regulatory requirements.
• Establish and maintain effective internal financial controls and documentation procedures.
• Support audit preparation, respond to auditor requests, and implement recommendations as appropriate.

• Promote transparency, accountability, and responsible financial stewardship throughout the organization.

Required Qualifications:

• Bachelor’s degree in accounting, finance, or a related field, or equivalent relevant experience.
• Minimum of 10 years of progressively responsible nonprofit accounting experience.
• Demonstrated experience in nonprofit fund accounting and grant accounting.
• Experience managing government, state, federal, and private foundation grants.
• Strong knowledge of nonprofit financial reporting, GAAP, grant compliance, and cost allocation practices.
• Experience preparing financial statements, managing month-end closings, and conducting account reconciliations.
• Experience managing accounts payable, accounts receivable, payroll, and budgeting.
• Experience coordinating or supporting annual financial audits.
• Proficiency in QuickBooks and Microsoft Excel.
• Proficiency with Microsoft Outlook, databases, shared drives, spreadsheets, and financial management systems.
• Strong analytical, organizational, and problem-solving skills.
• Exceptional attention to detail and the ability to manage multiple priorities and deadlines.
• Excellent written and verbal communication skills.
• High level of integrity, professionalism, discretion, and confidentiality.

Preferred Qualifications:

• Master’s degree in accounting, finance, business administration, or a related field.
• Experience with Asure payroll and RAMP expense management software.

• Experience supporting nonprofit organizations with multiple programs and complex funding streams.
