Job Summary/Purpose:

The Director of Auxiliary Services is a leadership position responsible for overseeing and managing a diverse range of auxiliary services, including housing, the Guest, and Conference Center (GCC), mailroom services, transportation, and other auxiliary operations. This role is pivotal in enhancing the overall student experience and supporting the university's mission by providing high-quality auxiliary services that contribute to student well-being, convenience, and satisfaction.

Key Responsibilities:

  1. Strategic Leadership
  • Set the vision for university Auxiliary Services.
  • Develop and execute a strategic plan for auxiliary services aligned with the university's mission, while enhancing the overall student experience.
  • Provide visionary leadership in housing, guest and conference services, mailroom, transportation, and related areas.
  • Ensure auxiliary services are accessible and ADA-compliant.
  • Promote outstanding customer service, promptly and professionally addressing concerns and inquiries from students, faculty, and staff.
  • Collect and analyze data related to auxiliary services to monitor performance, identify areas for improvement, and make data-driven decisions.
  1. Housing Services
  • Manage the university's housing operations, including residence halls and off-campus partnerships.
  • Ensure resident safety, comfort, and satisfaction by implementing housing policies, maintenance procedures, and services.
  • Continuously improve housing processes to enhance efficiency and the student experience.
  • Regularly report on housing metrics, including occupancy rates, maintenance requests, and budget performance.
  • Foster strong partnerships with faculty, staff, and stakeholders to support ongoing occupancy and implement a comprehensive housing plan.
  1. Guest and Conference Center (GCC)
  • Oversee the Guest and Conference Center operations, including room bookings, event planning and execution, catering services, and related facilities.
  • Ensure that the facilities are well-maintained, clean, and safe for guests including coordination of maintenance and repairs as needed.
  • Ensure that guest accommodation is comfortable and meets expectations.
  • Work with university departments and external clients to plan and host events, conferences, and meetings.
  • Consult with other university services as needed (e.g., catering, IT support) to ensure successful events.
  1. Mailroom and Package Services
  • Manage mailroom and package services for the university community, ensuring efficient and secure handling of mail and packages.
  • Oversee the maintenance and servicing of mail room equipment, such as postage meters, sorting machines, and others.
  1. Transportation Services
  • Develop and implement transportation policies, manage the vehicle fleet, coordinate schedules, and ensure safety and efficiency for students, faculty, staff, and visitors.
  • Coordinate vehicle acquisition and disposal, ensuring safety and sustainability standards are met. Recruit, train, and supervise transportation staff, enforcing safety protocols.
  • Develop and implement emergency transportation plans for crisis situations.
  1. Budget Management
  • Develop and manage the auxiliary services budget, ensuring fiscal responsibility, cost-effectiveness, and efficient resource allocation.
  • Monitor and control expenses, seeking cost-saving opportunities and efficiency improvements.
  1. Compliance and Regulations
  • Ensure all auxiliary services comply with relevant regulations and university policies.
  • Stay informed about changes in regulations affecting campus operations.
  1. Team Management
  • Oversee managers and staff responsible for various auxiliary services areas, providing leadership, mentorship, and professional development opportunities.
  1. Contract Management
  • Negotiate and manage contracts and agreements with service providers, vendors, and partners.
  • Ensure quality services at competitive prices through vendor contract oversight.
  1. Sustainability Initiatives
  • Promote sustainability within auxiliary services, including waste reduction, energy conservation, and sustainable product sourcing.
  1. Student Engagement
  • Collaborate with student organizations and leaders to gather feedback, address concerns, and implement initiatives enhancing the student experience.

Education and Experience:

  • A bachelor's degree in business administration, management, finance, or a related field.
  • A master's degree in business administration or a related field is preferred.
  • Several years of progressive experience in auxiliary services, facilities management, or a related area within a university or similar environment.
