    Description

    The American Diabetes Association (ADA) is committed to expanding access to care, advancing health access, improving quality, and achieving better health outcomes for people living with diabetes, prediabetes, and obesity. The Director, Health Access & Quality Operations supports the effective business operations of the Health Access & Quality Department by coordinating planning, budgets, performance reporting, projects, and process improvement. The role works closely with department leadership, Finance, Enterprise Strategy, the Program Management Office (PMO), and other internal partners to ensure priorities, resources, and deliverables are organized and executed effectively. The ideal candidate is an organized, collaborative, and solutions-oriented professional with strong project management, financial, analytical, and communication skills and the ability to manage multiple priorities in a matrixed environment.

    Responsibilities

    Operations & Planning

    • Coordinate departmental planning, priorities, timelines, deliverables, and operational activities.
    • Maintain work plans, calendars, tracking tools, and reporting processes.
    • Support leadership meetings, planning sessions, and operational reviews.
    • Monitor deadlines, dependencies, resource needs, and follow-up actions.

    Budget & Performance Management

    • Support annual budget development and ongoing budget tracking in partnership with leadership and the Finance Team.
    • Monitor expenditures, forecasts, commitments, and budget-to-actual performance.
    • Prepare budget reports and identify variances, trends, and items requiring attention.
    • Coordinate departmental KPI tracking and maintain dashboards, scorecards, and performance reports.
    • Monitor progress against goals and milestones and coordinate follow-up on performance gaps.

    Project and Cross-functional Coordination

    • Coordinate departmental and cross-functional projects from planning through completion.
    • Develop and maintain project plans, timelines, deliverables, risks, issues, and status reports.
    • Coordinate information, meetings, decisions, and deliverables across Finance, Enterprise Strategy, PMO, People/HR, Technology/IT, Communications, Data/Analytics, and other internal partners.
    • Escalate significant issues, risks, and delays to appropriate leaders.

    Process Improvement

    • Identify opportunities to improve workflows, efficiency, consistency, and accountability.
    • Support process improvement initiatives using data and continuous improvement practices.
    • Develop and maintain SOPs, templates, workflows, and operational tools.

    Qualifications

    • Bachelor's degree in business administration, management, operations, finance, organizational development, or a related field required.
    • Minimum 5 years of experience in business operations, project management, program management, administration, or a related field.
    • Experience supporting budgets, financial tracking, forecasting, and budget-to-actual reporting.
    • Experience coordinating business or operational planning, including priorities, work plans, timelines, and resources.
    • Experience coordinating projects with multiple stakeholders, timelines, and deliverables.
    • Experience tracking KPIs, performance measures, or operational data.
    • Experience working across departments or in a matrixed organization.
    • Experience developing management reports, presentations, dashboards, or tracking tools.
    • Experience identifying and implementing process or workflow improvements.

    Preferred

    • PMP, CAPM, or other recognized project management certification.
    • Experience with continuous improvement, operational excellence, or business process improvement.
    • Experience with project management, business intelligence, dashboarding, or reporting tools.

    Skills & Competencies

    • Strong organizational, project management, and time-management skills.
    • Strong attention to detail, follow-through, and ability to manage multiple priorities.
    • Working knowledge of budgeting, financial tracking, and variance reporting.
    • Strong analytical and problem-solving skills with the ability to translate information into practical recommendations.
    • Strong written, verbal, and presentation skills.
    • Ability to collaborate effectively across functions and organizational levels.
    • Ability to work independently, exercise sound judgment, and appropriately escalate issues.
    • Proficiency with Microsoft Office, particularly Excel and PowerPoint, and familiarity with project management and reporting tools.
    • Ability to work effectively in a fast-paced, matrixed environment.
