Description

Under general supervision of the Customer Service Coordinator, the Deputy Court Clerk performs a wide variety of clerical, court operations and administrative support duties for the Municipal Court in compliant with the Code of Judicial Conduct and court policies and procedures; maintains a high level of professionalism and confidentiality; and provides accurate and efficient customer service to the general public regarding Municipal Court proceedings in adherence with appropriate standards of performing the duties of an officer of the Court.

Deputy Court Clerk I : $17.25-18.98

Deputy Court Clerk II: $18.45-$20.30

Deputy Court Clerk III: $19.75-$21.73

Principal Duties

  • Respond to requests for information and inquiries from a variety of individuals, which may include interaction in person and over the phone with the general public, internal staff, Judges, and other departments to provide information related to the following Municipal Court proceedings and operations. To include but not limited to, responding to general questions related to fines; case options for citations; court proceedings and/or trials, arraignments, and civil hearings; and other information pertaining to court processes and/or policies.
  • Prepare and /or process a variety of court paperwork, to include but not limited to, generating and processing documents for court orders, extension paperwork/applications, trial and arraignment court dates, and civil hearing cases.
  • Perform cashier-related duties to include handling and processing cash payments and/or credit card transactions for the collection of fines/fees and/or servings as a collection or warrants clerks; recording and issuing transaction receipts; generating, compiling, and verifying daily balancing reports for all monetary and non-monetary transactions.
  • Perform a wide variety of administrative support duties which includes but not limited to, processing requests received through the mail, night drop box, and by fax; opening, logging, and scanning letters; maintaining inventory of mail, electronic files of fax reports and documents; scanning and printing documents; performing data entry and retrieving data/records; and processing a variety of paperwork and/or related correspondence.
  • Perform various clerical duties to include monitoring and maintaining records on cases; certify, manage, and maintain case files; process records request for notarized dispositions; scan and electronically file letters, documents, and/or motions; document case notes; draft correspondences; generate case complaints; and other related activities.
  • Enter and maintain a variety of data and information in support of court operations, including: entering, generating, compiling, and processing reports for on-line payments; revoke and delinquent cases; failure to appear and warrants; and/or other related activities.
  • Perform data entry and audit activities of the case management system to include entering, maintaining and auditing case statuses for traffic and non-traffic violations; parking violations; city ordinance violations; arrest reports; and request for prosecution summons.
  • Perform other related duties as assigned.

Qualifications

Required:

High School Diploma or G.E.D.; and two (2) years customer service, clerical, or administrative support experience, including cash handling; or an equivalent combination of education and experience. Must be detail-oriented. Possess strong listening oral and written communication skills. Possess basic level computer and typing skills in the use of PC-based spreadsheet and word processing applications; preferably MS Excel and MS Word. Level I Court Clerk Certification or the ability to obtain within 18 months of hire date.

Preferred:

Associates degree in Criminal Justice or related field. Three (3) years of customer service experience, including cash handling experience. Working knowledge of the Texas Code of Criminal Procedures, Penal Code, Transportation Code, Health and Safety Code, and Alcoholic Beverage Code. Level I Court Clerk Certification.
