CLASS SPECIFICATION

POSITION TITLE: Deputy Clerk of Court

REPORTS TO: Clerk of Court

SALARY: $40,000-$52,000 annually (Full-Time)

NATURE OF WORK

A deputy clerk is an administrative professional within the legal sector, tasked with providing vital support through a range of responsibilities. These duties include processing legal documents, managing court records, and delivering exceptional customer service to the public, judges, and attorneys. The role encompasses the preparation, processing, filing, and maintenance of legal documentation. Additionally, the deputy clerk attends court proceedings, meticulously recording and entering all courtroom findings to ensure the thorough completion of judicial processes.

ESSENTIAL RESPONSIBILITIES AND DUTIES

  • Receiving and Dockets: Responsible for receiving and documenting all materials related to new and pending cases.
  • Reviewing Filings: Conduct thorough reviews of filings to verify proper service to all parties involved.
  • Indexing and Filing: Oversee the indexing of records and ensure the systematic filing of all documentation pertinent to court cases.
  • Maintaining Records: Maintain accurate records of court proceedings and the minutes of court sessions.
  • Phone Answering: Answer telephone inquiries and provide precise information to the public.
  • Preparing and Distributing Documents: Prepare and distribute standard form orders as required.
  • Payments: Receive and record all monetary transactions associated with the payment of fines.
  • Follow Policies and Procedures: Adhere to established policies and procedures for the handling of all court-related documents on a daily basis.
  • Attend Court: Attend court sessions to ensure that all dispositions are accurately recorded and input all relevant information into court management software.
  • Assist Clerk of Court: Provide assistance to the Clerk of Court in fulfilling duties to ensure the efficient operation of court sessions.

QUALIFICATIONS

  • One to two years of Georgia Municipal Court experience.
  • Experience providing customer service to the public in a professional office environment.
  • Familiar with legal terminology.
  • Experience handling confidential, sensitive, or legally significant documents preferred.
  • Ability to accurately review, process, file, and maintain legal and court-related documents.
  • Ability to maintain accurate records and enter information into computerized systems with a high degree of accuracy.
  • Ability to handle monetary transactions and maintain accurate financial records.
  • Ability to communicate effectively and professionally with judges, attorneys, court personnel, defendants, law enforcement personnel, and members of the public with proper grammar and punctuation.
  • Ability to attend court proceedings and accurately document and enter case dispositions and other courtroom activity.

Education and Experience Requirements

  • Associate degree or higher in Criminal Justice, Legal Studies, Public Administration, Business Administration, or a related field.
  • Training or coursework in legal procedures, or municipal government.
  • Any equivalent combination of education, training, and experience that provides the required knowledge, skills, and abilities may be considered.

SKILLS

  • Follow established policies, procedures, and legal requirements.
  • Maintain confidentiality of court records and sensitive information.
  • Work independently while also functioning effectively as part of a court team.

REQUIREMENTS

  • Primarily office based with extended periods of sitting and computer use.
  • Evening and weekend work may be required occasionally for special court processes.
