Job Summary
The primary responsibility of this position is providing administrative support to ensure efficient operation of the Clerk's office. Supports managers and employees through a variety of tasks related to organization and communication. The Deputy Clerk position is responsible for producing and disseminating confidential and time-sensitive material. The successful candidate will apply relevant experience, sound judgment, and problem-solving skills to plan and accomplish assigned goals. The position requires the ability to learn and apply court-related concepts, practices, and procedures while exercising appropriate initiative, creativity, and judgment.

Receives and screens visitors, telephone calls, and emails
_ Provides information requiring knowledge and interpretation of court policies and procedures
Produces letters and other written correspondence with accuracy.
Ensures all administrative duties are completed accurately and delivered in a timely manner.
Coordinates and schedules various work orders for the court.
Organizes and maintains files, locating information as required for the divisions.
Enters and retrieves data using internal systems GCMS and GDIS.
Responsible for entering, processing, and completing extremely large mental health commitment docketing.
Operational Responsibilities
To be successful in this role, the candidate will be well-organized, have exceptional time management skills, and be able to manage multiple tasks daily. Perform accurate data entry and have the ability to proofread all documents for errors before distribution. Compose and prepare correspondence that may be confidential and sensitive in nature. Assist divisions with docket preparation, ticket entry, filing, and sorting. Work in tandem with division managers and the Clerk on court-required reporting, scheduling, and meetings. Will generate reports, memos, letters, and forms as required. Use and demonstrate knowledge of and use of office-related technology. Act as the point of contact among VBSO - Virginia Beach Sheriff's Office, city employees, Special Justices, and other external partners. Manage information and court calendars and schedule meetings in a timely and accurate manner.

Minimum Qualifications and Skills
High school diploma or general education degree (GED) required. Competitive applicants must demonstrate proficiency in Microsoft Office Suite@, with a high degree of data entry speed and accuracy. Applicants must have strong verbal and written communication skills, as well as high-volume customer service experience. Familiarity with office equipment, tools, and applications (e.g., e-calendars, fax, imaging, and copy machines). Candidates must be able to work in a fast-paced environment that requires a high degree of confidentiality.
Preferred Qualifications
Knowledge and hands-on experience in a court/legal setting. Extensive customer service serving the public in person and via phone-keen attention to detail, proficiency with computers. Knowledge and hands-on experience with GCMS, FMS, Outlook, DMV, and IPOAD is desirable. Advanced proficiency in Microsoft Office (PowerPoint, Word, Excel, and Publisher); ability to create advanced spreadsheets and advanced Word documents. Successful work experience as an Executive Assistant or similar role. Credentials, degree, or certification in Business Administration preferred.
