CLASSIFICATION SPECIFICATION
As a function of the Waupaca County Clerk of Courts Department, this position performs a wide variety of time sensitive, complex, clerical and administrative functions in retaining official court and financial records. This position ensures the Courts are prepared.
This position works under the direct supervision of the Clerk of Circuit Courts and/or Chief Deputy Clerk of Courts.
ESSENTIAL RESPONSIBILITIES:
Oversees and maintains an assigned caseload to include backup coverage with other positions or duties as needed.
Performs daily duties associated with the files on the Circuit Court Automation Program (CCAP) system including managing cases within the e-filing system.
Clerks in court proceedings. Manages exhibits, minutes, documents, the jury, and administers an oath.
Assist junior staff to ensure appropriate workflow for relevant case management; this includes opening of cases and assignment of case numbers, documents, filings and Court Official documents.
Enter citations, summons and complaints, criminal complaints, complaints and warrants, summons and petitions, and other actions as needed.
Ensure fee/fine/forfeiture payments are made and/or paperwork is filed (motions, jury demands, garnishments, warrants, capiases, appeals, correspondence, dispositions or other documents).
Works extensively with the public, attorneys, courts, county agencies and law enforcement over the counter and on the phone.
Performs other duties as assigned by the Clerk of Courts and/or Chief Deputy Clerk of Courts.
PERIPHERAL RESPONSIBILITIES:
Serves as a backup to Deputy staff and Court Clerk staff.
QUALIFICATIONS:
EDUCATION: High school diploma or equivalent. Specialized course work in general office practices such as typing, filing, accounting and computer skills preferred.
EXPERIENCE: Must have at least three years of experience in the Clerk of Circuit Court in Wisconsin’s Circuit Court System or a combination of experience and education within a legal setting.
SPECIAL REQUIREMENTS: Ability to type at least 60 words per minute.
NECESSARY KNOWLEDGE, SKILLS AND ABILITIES:
Advanced knowledge of Circuit Court Automation Project (CCAP).
Ability and skill with attention to detail.
Ability to work independently.
Ability to communicate effectively orally and in writing.
Ability to establish and maintain effective working relationships.
Ability to effectively meet and deal with the public.
Ability to maintain appropriate confidentiality.
