About the Role:

The Fire Department Programs Technician provides administrative and logistical support for the Fire Department Training Division and serves as a primary point of contact for the Training Center. This position requires someone who can manage competing priorities, protect confidential information, communicate effectively, and provide dependable service in a busy environment. This job is Non-Exempt and is subject to the overtime provisions of the Fair Labor Standards Act (FLSA).

Key responsibilities include:

  • Serving as a primary administrative contact for employees, recruits, applicants, instructors, visitors, and callers.
  • Maintaining accurate training records, attendance, and training information in departmental systems.
  • Supporting firefighter recruitment by monitoring applicant activity and preparing communications through the Citys Applicant Tracking System (ATS).
  • Coordinating logistics and communications for Firefighter Ability Tests (FFATs), interviews, background appointments, and other recruitment activities.
  • Preparing reports, correspondence, agendas, forms, meeting materials, and other departmental documents.
  • Coordinating classroom schedules, room setup, meeting coordination, and other training events.
  • Coordinating departmental travel requests and reimbursements, ensuring timely and accurate processing within City policies and approved budgets.
  • Maintaining confidential personnel, applicant, and training information with accuracy and discretion.
  • Responding to inquiries and providing professional customer service to internal and external customers.
  • Commitment to accuracy and attention to detail; advanced written and verbal communication, organizational, and interpersonal skills.

Qualifications

Minimum Qualifications:

  • High School Diploma/GED with 2+ years of progressively responsible administrative support (e.g., training program coordination, human resources support, records management) experience.
  • Proficiency with Microsoft Office 365 applications, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience coordinating training facilities, meeting spaces, classroom scheduling, or large-scale training/facility events.
  • Experience utilizing HR Information Systems or comparable software for maintaining data records, tracking, and/or generating reports

Preferred Qualifications:

  • Associate degree or higher in Business Administration, Public Administration, Office Administration, Human Resources, or a related field.
  • Experience using a public-sector Applicant Tracking System (NeoGov, Munis Applicant Tracking, PeopleAdmin, Workday, JobAps) or related ATS systems
  • 2+ years of administrative support experience working in Municipal Public Safety, Fire Service, Law Enforcement, or Emergency Services
  • Experience with municipal travel coordination, public sector procurement processes, and expense documentation.
  • Experience supporting recruitment, hiring, onboarding, or training operations.
