    This regular, full-time support staff position will work Mondays through Fridays, from 8:00am to 5:00pm, with flexible or extended hours as needed by the department or the College.

    Regular on-campus presence is expected for all KCC employees. Any flexible and/or hybrid work schedules are subject for review, approval, and/or change based on the needs of the College.

    Position Summary

    In accordance with mission and vision of Kellogg Community College, the Math and Science Department Assistant provides support to department management, students, faculty, adjunct faculty and community stakeholders. Oversees student workers and other departmental support staff in meeting department goals and objectives to support student success, retention and completion. Collaborates across departments and divisions to ensure accuracy and completion of departmental tasks and responsibilities.

    Kellogg Community College is located in Battle Creek, Michigan, a community of approximately 54,000 people. Leisure activities, natural resources and learning opportunities provide a foundation for residents. Located along the I-94 interstate, Battle Creek is within 30 minutes of Kalamazoo, 60 minutes of Lansing and Grand Rapids and within three hours of Detroit, Chicago and Indianapolis.

    Physical Demands

    The job responsibilities are performed in an office area and presentation venues. Travel by car required. The job has intermittent periods during which continuous physical exertion is required, such as independent mobility between work areas, sitting, stooping, bending, lifting material or equipment, some of which may be heavy or awkward (8 - 45 pounds). Typically requires regular use of one or more physical senses of medium intensity and long duration. Must meet reasonable deadlines, quotas or demands for accuracy, and may be involved in some mildly unpleasant situations.

    Minimum Qualifications

    • One (1) year post-secondary education or equivalent from an accredited college or university (please ensure unofficial transcripts with the name of the granting institution on it are uploaded).
    • One (1) year of related experience in an active, multi-tasked, automated work environment.
    • Ability to work with MS Office, most especially Word, Excel, and Outlook or similar level applications at an intermediate level.
    • One (1) year in office setting and working with a diverse population.
    • Demonstrated strong communication skills, organizational skills, and on-time reliability.

    Preferred but not Required

    • Associate degree from an accredited college or university.

    Proposed Salary

    According to the published support staff salary schedule, Classification Pay Grade 12, 2026-2027 starting hourly wage range, step one $20.42 to step five $25.26. Internal applicants may refer to Article 22, Section 5B.

    Job Duties

    Essential Function FRONTLINE FUNCTIONS Description

    • Provide administrative support for the Department Chair.
    • Rapidly evaluate and correctly respond to queries, assist, analyze, and triage daily academic issues for students, faculty, staff, and community stakeholders.
    • Evaluate real-time issues by interpreting each situation, formulating next steps, and advising or deferring to Department Chair.
    • Resolve simple student account issues within and across departments; refer complex issues to Chair or appropriate departments.

    Essential Function YEARLONG SCHEDULE Description

    • In collaboration with the Department Chair and faculty, compile data for the yearlong schedule, including multiple interrelated entries.
    • Evaluate for time and space conflicts, identify discrepancies, reach out across the department, and make recommendations for resolution.
    • In adherence to college deadlines, prepare yearlong Master Schedule file for approval by the Department Chair and entry by Registration.
    • Respond to feedback from Registration to address issues and changes, validating all revisions.
    • Solicit timely faculty submissions of bookstore text/resource adoption information for chair approval and final submission to the KCC Bookstore by the established deadlines.

    Essential Function ENROLLMENT SUPPORT Description

    • Assist students, parents, College personnel, and community stakeholders with department-related enrollment issues.
    • Rapidly evaluate and correctly process registration requests, such as petitions, prerequisite verifications, and late add requests.
    • Timely and appropriately respond to student inquiries about course registration rules.
    • Answer questions about programs and course/section information.
    • Assist the Department Chair and other departments in identifying improvements to processes and practices to maximize enrollment.

    Essential Function INTERDEPARTMENTAL COORDINATION Description

    • Gather and verify data and resources, compile reports for departmental and interdepartmental projects as needed in a timely fashion.
    • Coordinate core course materials by communicating and verifying with Department Chair, faculty, publishers, and the KCC Bookstore.
    • In collaboration with Arts/Communication and Business/IT Department Assistants, coordinate the needs of Math faculty located in the 4th floor Sojourner Truth Building office suite (TRU-401).

    Essential Function CONFIDENTIAL PROCESSES Description

    • Maintain confidentiality of student and personnel information used to fulfill departmental requests and processes.
    • Prepare and maintain highly confidential documents related to student, personnel, and financial processes for the department.
    • In collaboration with the Department Chair, accurately create and calculate faculty load sheets for faculty and chair/dean approval.
    • Create assignment contracts and Payroll Authorization Forms for adjunct teaching assignments and full-time faculty overload.
    • Prepare purchase orders and check requests as approved by the Department Chair.

    Essential Function ADJUNCT SUPPORT Description

    • Provide basic orientation and guidance to adjunct faculty.
    • Assist adjuncts with semester start-up requirements, textbook/teaching resource access, and KCC systems.
    • Act as departmental liaison for college processes such as requests for duplication and work orders.
    • Assist the Chair with monitoring timely submission of course syllabi, final grades, and assessment/service-learning data, as well as meeting other key deadlines.

    Essential Function DEPARTMENTAL/DIVISIONAL OPERATIONS Description

    • Collaborate with the Chair to monitor course staffing and enrollment and provide accurate, up-to-date staffing and enrollment information upon request.
    • Coordinate departmental events and meetings by evaluating time and space availability, scheduling facilities, issuing invitations, scheduling catering, and monitoring the departmental budget.
    • Participate in student employee selection and orientation; monitor student employee hours worked; refer any issues to Department Chair.
    • In the absence of the Department Chair, evaluate real-time issues, problem-solve, and make decisions based on established processes, with immediate implementation and Department Chair follow-up.
    • Provide temporary basic support for the Arts and Science Division, in the absence of Department Assistants, as needed and as requested by the supervisor.
