We are seeking an experienced and patient-focused Dental Office Manager to lead the daily administrative operations of our established specialty dental practice in Andover, Massachusetts.

Key Responsibilities
Practice Operations
- Oversee the daily administrative operations of the practice to ensure efficiency and exceptional patient service
- Manage scheduling to optimize provider productivity and patient flow
- Monitor office performance and implement workflow improvements
- Maintain compliance with office policies, OSHA, and HIPAA requirements
- Coordinate communication between clinical and administrative team members
Patient Experience & Treatment Coordination
- Deliver an exceptional, patient-centered experience from the first phone call through treatment completion
- Support patients with complex treatment plans by coordinating appointments, financial arrangements, and follow-up care
- Present treatment plans and discuss financial options with professionalism and confidence
- Ensure patients clearly understand recommended treatment and next steps
- Address patient concerns promptly while maintaining a positive and welcoming office environment
Insurance & Financial Coordination
- Verify insurance benefits and assist patients in understanding their coverage
- Coordinate with insurance carriers regarding pre-authorizations and claim-related questions
- Monitor patient balances and support accounts receivable follow-up when appropriate
- Work collaboratively with the billing team to ensure timely collections and accurate financial reporting
Team Leadership
- Lead, coach, and support front office staff while fostering a collaborative team culture
- Assist with onboarding, training, and performance development
- Promote accountability, professionalism, and exceptional customer service throughout the practice
- Support practice initiatives that improve patient satisfaction and operational performance

Qualifications
- Minimum 3 years of dental office management or front office leadership experience preferred
- Experience coordinating complex treatment plans required
- Previous experience in a specialty dental practice strongly preferred
- Open Dental software experience preferred
- Strong understanding of dental insurance, treatment coordination, and patient financial discussions
- Experience monitoring accounts receivable and supporting patient collections preferred
- Excellent leadership, communication, and organizational skills
- Ability to multitask and manage competing priorities in a fast-paced environment
- Commitment to delivering exceptional customer service and patient care
Preferred Skills
- Open Dental practice management software experience
- Experience working in specialty practices such as oral surgery, periodontics, prosthodontics, endodontics, or orthodontics
- Strong knowledge of insurance verification, pre-authorizations, and treatment financing
- Ability to build strong patient relationships while maintaining operational efficiency
- Experience leading high-performing administrative teams
