As a Patient Coordinator, you’ll play an important role in that experience at our Great South Bay location in West Babylon, NY. You’ll help patients navigate the scheduling and financial side of their care with compassion, professionalism, and clarity—ensuring they feel informed, supported, and confident every step of the way.

Experience Required
  • 3 or more years of experience in a dental front desk position preferred
  • Experience with Dentrix Ascend or other dental practice management software is helpful, but we’ll provide training on our systems
  • Flexibility with scheduling required—our office is open six days a week, including early mornings, evenings, and some holidays. Most Dental Patient Coordinators work every other Saturday
  • Comfortable calculating percentages accurately using basic math skills
  •  Bilingual in English and Spanish welcomed
What You’ll Do as a Dental Patient Coordinator
Patient Checkout & Financial Communication
  • Educate patients about the details of their treatment plan and associated fees after the Dentist has diagnosed and reviewed their options, clarifying anything the patient may have misunderstood.
  • Help patients understand their dental insurance benefits in collaboration with our Dental Billing team; accurately calculate how much insurance will pay toward their needed care.
  • Review each patient’s financial responsibility with them based on any insurance pre-determinations.
  • Work with outside patient care financing companies to give patients a wide range of financial options.
  • Send pre-determinations to patients’ insurance companies and track their timely return to keep patient care moving forward.
  • Collaborate with our financial team to address and collect patient balances when they return to the practice for care.
  • Ensure our payment policy is honored when patients are scheduled.
  • Professionally hold space for anxious patients during the checkout process, and act as their advocate—including helping explain their financial responsibilities.
Scheduling & Patient Communication
  • Correctly schedule future appointments for patients checking out, ensuring Doctors and Hygienists can focus on caring for patients and that treatment is scheduled within the needed timeframe.
  • Answer treatment questions patients have both before and after their visit.
  • Answer incoming calls when appropriate and available, as calls may also come through our Call Center.
  • Respond to live chats or website leads as they come in during the day.
  • Check emails frequently to stay up to date on communications throughout the day.
  • Participate in and help run morning or afternoon huddles for your Provider and their Assistants; share huddle sheets daily with our Admin team.
  • Follow up by email or text with patients who haven’t yet scheduled their treatment.
  •  Comfortably ask happy patients to share feedback in an online review, or refer a friend to the practice.
Team Collaboration & Practice Support
  • Work collaboratively with the entire practice to meet or exceed monthly goals so all team members have the opportunity to receive the monthly bonus.
  • Mentor new team members when comfortable and able to add value.
  • Generate and review reports, when directed.
  • Monitor treatment plans and case acceptance when directed, to further support your Doctor and meet hourly production goals.
  • Perform all other duties as deemed necessary by the Administration Team and/or COO.
Minimal Qualifications:
Education:
  • High school or equivalent (Required).
  • College degree optional.
