Ballard Dentologie dental practice is seeking a talented Office Manager!
*The selected candidate must have at least 2 years of experience as a Dental Office Manager. 
 
As an Office Manager at Dentologie, you are the heartbeat of your location. You set the tone for your team, create a standout experience for every patient who walks through the door, and keep the day to day business of dentistry running smoothly behind the scenes. This role is built for someone who thrives on variety, leads with energy, and takes real ownership over the success of their office. 

What You'll Do 
Patient Experience 

• Professionally greet and communicate with patients, in person and in writing. 
• Deliver a positive, memorable patient experience from check in to check out. 
• Track patient feedback and respond to concerns and reviews with care and consistency. 
• Maintain a patient NPS (net promoter score) of 72 or higher. 

Team Leadership and Staffing 

• Train, manage, and support your Front Desk team, ensuring day-to-day functions run smoothly. 
• Ensure the office is appropriately staffed, coordinating with Team Leads and fellow Office Managers as needed. 
• Manage timekeeping and attendance for nonexempt staff, addressing concerns directly and early. 
• Lead daily huddles to align the team on daily, weekly, and monthly goals and discuss action items. 
• Adapt quickly to new initiatives and drive change management across the office as new tools and processes are introduced. 
• Partner with Team Leads across departments, including Assistants and Hygiene, to evaluate new hire performance and deliver feedback. 
• Complete staff performance reviews and share feedback with the training team to strengthen onboarding. 
• Address and document performance concerns, partnering with the appropriate resources on corrective action when needed. 

Office Operations and Performance 

• Oversee the patient schedule to maintain 80% or greater utilization and daily productivity. 
• Meet or exceed monthly and quarterly production goals set for your office. 
• Serve as the central point of support for every team in your office, resolving issues that affect patient care or daily operations. 

Revenue Cycle Management 

• Oversee benefits verification, claim creation, patient balance collection, and patient ledger accuracy in coordination with our Revenue Cycle Management (RCM) team. 

Clinical Coordination 

• Oversee clinical cases with Dental Labs in partnership with doctors and assistants, including crowns, dentures, and Invisalign.

• Two plus years of dental practice management experience.

• Proven time management skills and the ability to consistently meet deadlines. 
• Strong analytical and problem-solving skills, with the ability to prioritize and delegate effectively.
