Position Summary
The Database & Development Coordinator is a key member of the Development and Marketing team, responsible for the integrity, strategy, and day-to-day management of the organization’s CRM (Altru). This role supports fundraising, membership, events, and Board engagement through accurate data management, thoughtful donor stewardship, and strong administrative coordination.
The ideal candidate is highly organized, detail-oriented, and collaborative, with a passion for supporting a mission-driven organization through data-informed decision-making and relationship management.
Key Responsibilities
Database & CRM Management
- Serve as the primary administrator of the Altru database, ensuring accuracy, consistency, and data integrity across all records (membership, donors, events, education, volunteers, and campaigns).
- Develop, implement, and maintain database policies, procedures, and best practices.
- Build and manage queries, reports, and dashboards to support development, marketing, and programmatic needs.
- Maintain and regularly audit data for accuracy; perform data clean-up and deduplication as needed.
- Create and manage events within the CRM, including registration, ticketing, and sponsorship tracking.
- Maintain membership records in accordance with organizational policies and best practices.
- Process and record gifts, payments, and pledges in a timely and accurate manner.
- Train and support staff in effective database use and adherence to data standards.
Development & Membership Support
- Coordinate logistics for fundraising events, including vendor coordination, sponsorship tracking, and guest list management.
- Support donor stewardship efforts by generating timely and accurate gift acknowledgments and donor communications.
- Prepare and distribute monthly and ad hoc reports on membership, donations, and campaign performance.
- Assist with event reservations and ensure accurate data entry and tracking.
- Support recruitment efforts for key programs and events (e.g., student versus competition, Foodie Fair at the Crave Culinary Festival).
- Attends Resource Development, Capital Campaign, Versus, Designing Women, Holiday Tables and other development committee meetings and prepares minutes.
- Acts as staff primary point of contact for Designing Women, coordinates Designing Women events, handles member communications and membership reporting, etc.
Board & Administrative Support
- Coordinate logistics for Board of Directors and Executive Committee meetings, including scheduling, communications, materials preparation, and RSVP tracking.
- Prepare and maintain Board meeting minutes and support Governance, HR, and Strategic Planning committees as assigned.
- Maintain and update secure Board portals and documentation.
- Provide administrative support to the CEO and Development team as needed.

- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Technical Skills
- Experience with a CRM or donor database required; experience with Blackbaud Altru, Raiser's Edge, or similar systems strongly preferred.
- Ability to generate reports, analyze data, and translate insights into actionable information.
Education & Experience
- Minimum of 3 years of professional experience in database management, development, or administrative support.
- Bachelor’s degree preferred; equivalent combination of education and experience will be considered.
Work Environment & Physical Requirements
- Ability to lift up to 25 pounds occasionally.
- This position operates in a professional office environment with moderate noise levels.
- Occasional evening or weekend hours may be required to support events and organizational needs.
- Full-time role, Monday through Friday 8:30am to 5pm
