    Description

    Title: Data & Project Coordinator
    Reports to: Rhyan Wheeler, CEO & President
    Department: Resource Development
    Location: Administrative Office
    Status: Full-Time, Exempt
    Schedule: 8:00AM – 5:00PM, Monday – Friday (Evenings and occasional weekends, Flexibility Required)
    Salary Range: $40,000 - $45,000 + Benefits
     
    Job Summary
    The Data & Project Coordinator serves as a key operational partner supporting organizational data systems, cross-departmental project coordination, and administrative functions. This role ensures the accuracy and integrity of organizational data, supports the execution of strategic and development-related initiatives, and provides administrative support that enhances organizational efficiency.
     
    Working closely with Executive Leadership and department managers, this position helps maintain reliable reporting systems, supports development operations (grants, donor systems, and fundraising initiatives), monitors organizational projects, and serves as a central coordination point across departments.
     
    The ideal candidate is highly organized, detail-oriented, and analytical, with the ability to manage multiple priorities while maintaining accuracy and professionalism.
     
    Key Roles
    1. Data Management & Reporting (Approximately 45%)
    Serve as the organization’s primary support for data integrity, reporting, and information systems.
     
    Essential Duties
    • Maintain accurate donor, grant, volunteer, membership, and program data across organizational systems.
    • Serve as the co-administrator for MyClubHub, including user support, training, and SOP development.
    • Collect, validate, reconcile, and maintain organizational data for accuracy and consistency.
    • Develop and maintain dashboards and reports to track key organizational metrics.
    • Prepare monthly, quarterly, and annual reports for leadership, funders, and the Board.
    • Support collection and reporting of youth participation and outcome data (including NYOI).
    • Monitor data quality and recommend process improvements.
    • Ensure confidentiality, security, and integrity of organizational data.
     
    2. Project Coordination (Approximately 35%)
    Coordinate cross-departmental projects while supporting development operations, including grants, donor systems, and fundraising initiatives.
     
    Essential Duties
    • Coordinate cross-departmental projects from planning through completion.
    • Maintain project timelines, deliverables, and tracking systems.
    • Monitor progress and follow up with staff to ensure completion of assigned tasks.
    • Support implementation of organizational and strategic initiatives.
    • Maintain grant calendars, deadlines, reporting schedules, and compliance requirements.
    • Conduct ongoing research to identify new funding sources, philanthropic trends, and grant opportunities while maintaining a pipeline of prospective funders.
    • Track grant submissions, awards, and reporting obligations.
    • Assist in preparing grant proposals and reports by gathering data and supporting documentation.
    • Maintain donor records and stewardship tracking systems.
    • Support implementation of donor stewardship and fundraising initiatives.
    • Assist with special events, campaigns, and organizational initiatives requiring cross-team coordination.
    • Attend occasional evening and weekend events as required.
     
    3. Administrative Support (Approximately 20%)
    Provide administrative support that enhances organizational efficiency and communication.
     
    Essential Duties
    • Provide administrative support to Executive Leadership and assigned departments.
    • Maintain electronic and physical records and filing systems.
    • Prepare reports, presentations, correspondence, and meeting materials.
    • Serve as a liaison between departments to support communication and workflow alignment.
    • Associate’s or Bachelor’s degree preferred.
     
    Experience/Qualifications
    • 2–4 years of experience in administrative support, project coordination, operations, or data management.
    • Proficient working with databases and reporting systems, specifically Salesforce.
    • Experience supporting multiple departments and managing competing priorities.
     
    Technical Skills
    • Microsoft Office Suite (especially Excel, Word, PowerPoint)
    • Salesforce or comparable CRM/database experience
    • Strong spreadsheet and reporting skills

    Physical Requirements/Work Environment
    Work Environment: This position operates in a professional office environment with frequent collaboration across departments. Occasional travel between program sites or meetings may be required. Evening and weekend work may be required for organizational events.

    Physical Requirements & Work Environment: Must be able to sit for extended periods and perform repetitive tasks such as typing and data entry. Occasional lifting of materials up to 15 pounds may be required.
