About the Team
We are a collaborative, patient-centered group within Centralized Support Services (CSS) committed to making healthcare operations more efficient and reliable. Our Document Routing team ensures that clinical and administrative documents flow seamlessly across providers, nurses, labs, medical records, and administrative queues, supporting the care teams that serve our patients every day.
Key Job Responsibilities
- Follow HIPAA rules to protect patient privacy in all document handling and routing activities.
- Classify documents and route them to the appropriate department or owner for follow-up and action.
- Flag high-priority items and delete non-actionable items per protocol.
- Process flagged document tasks by verifying at least two matching patient identifiers before filing a document to a patient's chart.
- Contact originating facilities to resolve patient identity discrepancies.
- Resolve incomplete name or date-of-birth tasks by reviewing the patient's chart for corrected documents and conducting facility outreach as needed.
Basic Qualifications
- At least 6 months of experience in data entry, document processing, or administrative support OR 1 year of experience in a healthcare office or patient-facing environment.
- Proficient with basic computer skills.
- Ability to work a flexible onsite schedule, including nights, weekends, and holidays.
- Must have a high school diploma or equivalent.
Preferred Qualifications
- Strong attention to detail and ability to maintain accuracy in a high-volume environment.
- Proven organizational and multitasking abilities.
- Familiarity with medical terminology and clinical document types, such as consult notes, lab reports, imaging reports, prior authorizations, pathology reports, referrals, and prescriptions.
- Understanding of provider roles and routing logic, including PCP, VMT, Ordering Provider, Registered Nurses, and Phlebotomist/Lab Support.
- Experience verifying patient identity using multiple identifiers in a healthcare setting.
- Strong verbal communication skills for contacting external facilities to resolve document discrepancies.
- Experience with electronic health record (EHR) systems or document management platforms is a plus.
- Familiarity with G Suite.
