    We have an immediate opening for a Design Data Administrative Assistant in our Little Canada, MN office.

    Primary responsibilities include, but are not limited to:

    • Extract, compile, and manipulate data from multiple databases and platforms, including SAP and Smartsheet, to support reporting, process improvements, and business operations.
    • Coordinate the compilation, review, and submission of billing packages, ensuring data accuracy, proper documentation, and adherence to client and organizational standards.
    • Maintain the confidentiality and security of sensitive company, client, employee, and project information in accordance with company policies and procedures.
    • Maintain various Excel tracking sheets.
    • Utilize excel functions such as Xlookups, Vlookups, pivot tables, filtering, and sorting to organize and analyze large data sets.
    • Ensure data accuracy through regular audits, validation, and reconciliation of reports and tracking tools.
    • Generate recurring and ad hoc reports to support resource planning, project tracking, and department performance metrics.
    • Collect, organize, and maintain project, resource, and workload data from multiple sources.
    • Properly scan and document paperwork.
    • Support design leadership with data entry, report preparation, meeting materials, and administrative tasks
    • Perform quality assurance reviews and quality control checks as directed by leadership to ensure accuracy, compliance, and adherence to established standards.
    • Respond to requests for information and provide administrative support
    • Other duties as assigned.

    Requirements:

    • High school diploma or equivalent.
    • Data and administrative experience.
    • Ability to prioritize and plan work activities to be effective and efficient.
    • Must be comfortable and effective working in an environment with changing demands, delays and responding to unexpected situations.
    • Must be able to work effectively and independently while supporting leaders who frequently travel and may not be available on-site.
    • Ability to maintain and protect confidential information.
    • Working knowledge of Microsoft applications including Word, Excel and Outlook.
    • Excellent verbal and written communication skills required; ability to maintain a high level of professionalism
    • Experience in SAP, Sharepoint, and Smartsheet is a plus.
