    Job Summary

    Customer experience is the top priority for this role. The Customer Support Specialist is responsible for managing quotes, orders, and required customer documentation with a focus on accuracy, compliance, and on-time fulfillment. This role partners closely with customers, sales, sourcing, finance, operations, logistics, billing, and technical teams to communicate status, remove barriers, and deliver a seamless customer experience.

    Essential Responsibilities

    • Prepare and process quotes, orders, and order changes accurately and on time.
    • Review customer requirements, including approvals, terms, compliance requirements, and purchasing documentation.
    • Create supplier purchase orders and coordinate with sourcing and procurement teams to meet customer delivery needs.
    • Monitor order backlog, shipments, and open issues while proactively communicating status, risks, and next steps.
    • Respond to customer inquiries promptly and professionally by phone and email.
    • Set clear expectations with customers and internal partners regarding timelines, status, and potential issues.
    • Partner cross-functionally with sales, finance, credit, billing, accounts receivable, operations, logistics, sourcing, procurement, and technical teams to resolve issues and remove barriers.
    • Maintain accurate and complete customer, order, and supporting documentation.
    • Use CRM and ERP systems to maintain clean, reliable data and support efficient order management.
    • Own open items through resolution and follow up to ensure customer and business commitments are met.
    • Identify opportunities to reduce rework, improve cycle time, and enhance the customer experience.
    • Track performance and use data, feedback, and KPIs to identify opportunities for continuous improvement.
    • Escalate issues appropriately with relevant information and recommended solutions.
    • Maintain reliable attendance and follow company time-off and notification procedures.

    Qualifications

    • High school diploma or equivalent required.
    • Previous customer service, order management, sales support, purchasing, procurement, logistics, or business operations experience preferred.
    • Experience working with CRM or ERP systems preferred.
    • Strong attention to detail and ability to maintain accurate documentation.
    • Ability to manage multiple priorities and deadlines in a fast-paced environment.
    • Strong written and verbal communication skills.
    • Ability to work independently and take ownership of assigned responsibilities.
    • Strong problem-solving and critical-thinking skills.
    • Ability to collaborate effectively with customers and cross-functional teams.
    • Professional, respectful, and composed communication style.
    • Commitment to continuous improvement and delivering a strong customer experience.

    Compensation & Benefits

    The estimated pay range for this position is $25 to $28 per hour. Starting pay is dependent on multiple factors, such as skills, experience and work location. At Xylem we offer a competitive compensation package with a generous benefit package, including Medical, Dental, Vision plans, 401(k) with company contribution, paid time off, paid parental leave and tuition reimbursement.
