Job Summary
The Customer Service Specialist serves as the first point of contact for Prime Craftsman Homes, welcoming visitors, prospective homebuyers, vendors, community partners with a professional and helpful demeanor. This role manages front desk and general office operations while providing meaningful support to the Human Resources Director and Project Coordinator, balancing customer-facing duties with administrative and HR support tasks.
Front Desk & Facility
- Answer incoming calls, respond to general inquiries, and route calls to the correct staff member or department
- Maintain a clean, organized, and welcoming front lobby and reception area and ensure that the building is accessible during business hours.
- Sort, scan and distribute all incoming mail.
Customer & Visitor Engagement
- Greet customers and visitors in person in a warm, professional manner
- Show prospective customers available/model homes and answer general questions about product offerings
- Fill out customer forms, ensuring to vet their desires and ask all relevant questions so we can gauge interest, intent, and potential.
- Directly forward “warm” leads to Chief Market Officer
Human Resources Support
- Assist HR with scheduling and setting up candidate interviews
- Monitor candidate/employee email responses
- Assist staff with completing online training modules
- Support employee engagement efforts and answer general employee questions.
- Provide general administrative assistance to HR as needed (filing, data entry, correspondence, etc.)
Project Coordinator Support
- Receive, inventory and organize all incoming furnishings
- Ability to utilize software to update inventory status
- Communicate with vendors to obtain status updates
- Assist Project Coordinator with various customer project tasks as needed.
- Support plant and facility projects as assigned
Work Schedule & Benefits
- Full-time schedule, standard first shift hours Monday–Friday 7:30am-4:30pm
- Overtime may be required based on production needs.

Qualifications
- High school diploma or equivalent required; additional education or administrative experience preferred
- Prior experience in receptionist, customer service, or administrative support preferred
- Strong verbal and written communication skills with a professional, customer-first attitude
- Comfortable using standard office software, email, and HR systems (e.g., Prism HR) or willing to learn
- Highly organized with the ability to multitask and prioritize in a fast-paced, walk-in environment
- Trustworthy and discreet when handling confidential candidate and employee information
- Reliable and punctual, given responsibility for daily office opening and closing
- Primarily on-site, front-office environment with occasional walking in the plant and outside to model homes.
- Occasional lifting (training equipment, office supplies, mail/packages and boxes).
Physical & Environmental Requirements
- Ability to stand, walk, bend, kneel, climb, and reach throughout the workday.
- Ability to lift to 50 pounds with or without reasonable accommodation.
- Ability to occasionally work in a warehouse environment with noise, dust, and varying temperatures.
