Customer Service Representative

Summary: The position of Customer Service Representative is directly responsible for performing service functions as outlined below for customers, carriers, drivers and employees of the warehouse facility in a professional and timely fashion. The employee is frequently required to remain in a stationary position and occasionally move about the inside of an office to access file cabinets, office machinery and other equipment necessary to accomplish the tasks at hand.

Summary:

• The position of Customer Service Representative is directly responsible for performing service functions as outlined below for customers, carriers, drivers and employees of the warehouse facility in a professional and timely fashion.
• **Someone with strong multitasking skills and excellent attention to detail.
•  The candidate must be comfortable working with numbers, as the role involves managing mill order numbers, mill numbers, part numbers, and other numerical data accurately.

Essential Functions:

• Ensure safe working conditions in office and adherence to OSHA regulations
• Ensure work spaces and office conditions maintain clean, professional appearance.
• Maintain databases to ensure accurate customer, vendor information is entered and current
• Build computerized distribution lists
• Create customer inventory activity reports
• Create and distribute daily warehouse reports of material to ship.
• Receive product into inventory; monitor inventory, report inventory levels to customers.
• Assess customer needs, answer incoming calls and address complaints
• Schedule all inbound and outbound truck and rail activities within the system(s).
• Schedule and confirm appointments as needed.
• Verify and confirm pick up and/or delivery of customer product.
• Dispatch orders, provide paperwork and instructions to drivers, and vendors
• Customer invoicing
• EDI/ ASN transmissions and tracking.
• Coordinate and communicate with warehouse employees, other departments and divisions.
• Record incidents, accidents, service failures, claims. 
• Participate in cross training and continuing education functions as needed to stay informed with company and industry trends, or as requested by management.
• Participate in meetings and on committees as requested

Job Specifications:

• High School Diploma or GED equivalent is required
• Associate Degree in related field is preferred.
• One year work history in similar role and environment is preferred.
• Must be literate in Microsoft Office software programs and be able to type a minimum of 35 works per minute.

Work Environment:

• This job operates predominately in an indoor office environment with some exposure to the warehouse environment with some exposure to noise, vibration, particles, fumes, and temperature variations. 
• This role routinely uses standard office equipment such as computers, phones, photocopiers, fax machines, and filing cabinets.

• While performing the duties of this job, the employee is regularly required to effectively communicate with others via email, phone and in person.  The employee must frequently use hands and fingers to use computers, calculators, write letters, sign documents and pick up files in the course of work.  The employee is frequently required to remain in a stationary position and occasionally move about the inside of an office to access file cabinets, office machinery and other equipment necessary to accomplish the tasks at hand.  The employee is regularly required to position oneself to move and/or access files or other necessary equipment, and is rarely required to crouch, crawl climb or balance.
