Position Overview
We are seeking a professional and detail-oriented Customer Service Representative (CSR) for a manufacturing operation in Claremore. This position serves as the primary point of contact for customers throughout the order process, providing accurate information, coordinating internal resources, and helping ensure orders are completed and delivered according to customer expectations.
This is more than a traditional customer service position. The CSR works closely with Sales, Production, Planning, Shipping, and Purchasing to track customer orders, communicate lead times and shipment information, resolve issues, and maintain strong customer relationships.
The ideal candidate has previous customer service, administrative, account management, or manufacturing support experience and is comfortable working with ERP systems, order entry, Microsoft Office, and multiple departments in a fast-paced manufacturing environment.
Required Experience & Skills
Previous customer service, administrative, account management, or manufacturing support experience preferred
Strong written and verbal communication skills
Excellent customer service and relationship-building abilities
Strong organizational and multitasking skills
Ability to manage multiple customer orders and priorities simultaneously
Proficiency with Microsoft Outlook, Excel, and Word
Strong computer and data-entry skills
Ability to maintain accurate customer and order information

Ability to work effectively in a fast-paced manufacturing environment
High school diploma or GED required
Additional education is a plus
Essential Duties & Responsibilities
Serve as a primary point of contact for customers
Respond to customer inquiries regarding orders and accounts
Process incoming customer orders
Track orders from receipt through final delivery
Provide accurate order-status updates
Communicate applicable lead times and pricing information
Provide customers with shipment and delivery information
Monitor open orders and upcoming commitments
Proactively communicate delays or changes to customers
Coordinate customer requirements with internal departments
Enter and maintain customer information in ERP systems
Maintain accurate order records
Prepare quotes and order confirmations
Prepare customer documentation as required
Respond professionally to customer concerns
Research and help resolve order or account issues
Support Sales and Account Management activities as needed
Maintain positive and professional customer relationships
Perform additional customer service and administrative duties as assigned
Customer Order Management
Receive and review customer orders
Enter orders accurately into applicable systems
Verify customer and order information
Monitor orders throughout the manufacturing process
Track production and shipment status
Identify potential delays or concerns
Coordinate with internal departments to obtain updated information
Communicate changes to customers promptly
Help ensure orders remain aligned with customer expectations
Manufacturing Coordination
The CSR will work closely with:

Purchasing
Account Management
Other internal departments as required
Responsibilities include coordinating information between these teams to help ensure materials, production schedules, customer requirements, and shipping commitments remain aligned.

ERP & Order Entry Responsibilities

Previous ERP and manufacturing order-entry experience is preferred.
Quotes & Customer Documentation
Prepare customer quotes as assigned
Create order confirmations
Maintain applicable customer documentation
Verify information before sending documents to customers
Maintain organized electronic records
Support Sales with customer-related documentation as needed
Problem-Solving Responsibilities
Research customer order questions
Identify potential order delays
Coordinate with Production and Planning regarding scheduling concerns
Work with Purchasing regarding material-related issues when applicable
Coordinate with Shipping regarding delivery status
Help resolve customer concerns professionally
Escalate significant issues when necessary
Follow through until outstanding concerns are resolved
