Our office is quickly growing and we need someone who we can train to fit in our office puzzle! The position offered is full time. Our Customer Service Representative needs to exceed customer service standards to current clients while also assisting prospects as they call in.

No prior experience is necessary, but insurance license is expected to be obtained in the first 90 days.

Fluency in both English and Spanish is required, as this position regularly serves and communicates with both English- and Spanish-speaking clients and prospects.

Responsibilities

  • Client Service & Account Management
  • Provide exceptional service to clients by handling incoming calls, emails, and service requests in a professional and timely manner.
  • Process policy changes, endorsements, billing requests, cancellations, reinstatements, and other policy servicing transactions.
  • Accept and process premium payments while maintaining accurate records.
  • Maintain detailed documentation of all client interactions within the agency management system.
  • Assist clients with coverage questions, policy reviews, billing concerns, and claims guidance.
  • Retention & Remarketing
  • Review renewal offers and identify accounts that may benefit from remarketing.
  • Obtain updated information from clients and prepare submissions for alternative insurance carriers when appropriate.
  • Assist clients who have experienced non-renewals, significant premium increases, or changes in eligibility.
  • Work proactively to improve client retention and account rounding opportunities.
  • New Business Support
  • Assist producers with onboarding new clients and ensuring all required documentation is completed accurately.
  • Prepare applications, supplemental forms, and supporting documents for new business submissions.
  • Follow up on outstanding requirements needed to complete new business transactions.
  • Support producers by identifying cross-sell and referral opportunities.
  • Agency Operations
  • Manage certificates of insurance, evidence of insurance requests, and policy document delivery.
  • Monitor carrier notifications, underwriting requests, cancellations, and policy alerts to ensure timely resolution.
  • Assist with audits, inspections, and loss control requests as needed.
  • Maintain organized electronic client files and agency documentation.
  • Work collaboratively with producers, account managers, account assistants, and virtual assistants to ensure excellent client service.

  • Maintain active insurance licensing and complete all required continuing education.
  • Participate in agency training, meetings, and process improvement initiatives.
  • Contribute to a positive team culture and assist with training and mentoring newer team members when appropriate.

Requirements

Fluency in both English and Spanish is required.

Active Oregon Property & Casualty Insurance License preferred. Candidates without a license must be willing and able to obtain their Oregon Property & Casualty License within the first 90 days of employment.


Prior customer service experience preferred, particularly in insurance, financial services, banking, retail, hospitality, or other client-facing roles.


Strong verbal and written communication skills with the ability to build rapport and maintain professional relationships with clients and prospects.


Excellent organizational skills and attention to detail.


Ability to prioritize tasks, manage multiple projects simultaneously, and work efficiently in a fast-paced environment.


Comfortable learning and utilizing agency technology systems, carrier websites, Microsoft Office products, and agency management software.


Ability to work independently while also contributing positively to a team environment.


Strong problem-solving skills and the ability to identify solutions for clients and agency team members.


Positive attitude, strong work ethic, and willingness to learn new skills and responsibilities.


Ability to maintain confidentiality and handle sensitive client information professionally.
